Administrative Assistant (Req. 29591)

Provide administrative and clerical support for the Division of Diagnostic and Surgical Sciences.

Assist Division Administrator in maintaining academic courses and faculty support for approximately 60 courses annually.

This position is heavy in use of Microsoft Office and numerous UCLA Online programs. Prepare and distribute course schedules. Monitor student rotation assignments and prepare instructional materials. Inform students of rotation requirements. Handle confidential documents appropriately. Compute sectional teaching evaluation scores and process student exams and grades. Prepare correspondence and schedules. Prepare purchasing requests and reimbursement requests. Maintain faculty credentials files and logs. Answer telephone and other inquiries from public, faculty, students and staff. Communicate accurately and tactfully with a wide variety of persons. Take inventory and order supplies. Sort and distribute mail.

  • Superior written communication and editing skills and ability to communicate with all levels at the University in an intelligent and tactful manner. Demonstrated ability to compose routine correspondence using grammatically correct English, spelling and punctuation.

  • Verbal skills to speak clearly using appropriate vocabulary and grammar to obtain and convey information accurately. Ability to speak with all personnel and students in the School.

  • Demonstrated skill using PC-based or Macintosh platform MS Office including MS Word, Excel, PowerPoint and Outlook e-Mail. Superior skills to advanced skills in Excel and MS Word, Outlook).

  • Demonstrated skill using Excel spreadsheet software in order to enter data with accuracy. Demonstrated ability to type with speed and accuracy.

  • Ability to learn multiple UCLA online systems and to enter data accurately.

  • Detail oriented and careful in all aspects of the job.
