Job Details
The Health Sciences Division of the School of Medicine and Health Sciences is recruiting an administrative professional to provide administrative support to the Office of the Senior Associate Dean.
This administrative support position provides administrative support to one or more individuals. This position coordinates schedules and maintains calendar(s) for assigned staff, regularly prioritizing and arranging meetings, conferences and appointments. This role also typically monitors and assists with the budget preparation and record keeping, organizes and submits P-card receipts, and anticipates and prepares background materials as needed. The position may assist in coordinating room reservations on campus as needed.
The Office includes numerous administrative teams, including academic planning and evaluation, admissions and enrollment management, finance and operations, research administration, strategic partnerships and creative services.
Responsibilities include reception duties, scheduling, meeting planning, maintenance and procurement activities, expense reporting, event logistics and general administrative support for senior leaders in Health Sciences.
DUTIES:
Facilities and Logistic Support:
- Manage reception, welcome and orient visitors, process and distribute mail, other
reception duties.
- Maintain Health Science division paper and online directories.
- Schedule meetings and manage meeting room audio and visual equipment.
- POC for building maintenance, submit service requests, phones, data watch cards, etc.
- Manage maintenance and supplies for the office printers, water and coffee machines and
shredding service.
Procurement:
- Purchase supplies and equipment (office supplies, computers, business cards, etc.)
- Submit invoices, honorarium and other payment requests.
- Process payments for travel, memberships and conference dues.
- Maintain computer inventories
Sr. Associate Dean and Senior Leadership Support:
- Assist with calendar and schedule meetings.
- Assist with travel arrangements and expense reimbursements
- Take minutes at faculty and program director meeting.
- Other general administrative support, as needed.
Events:
- Assist with event planning: reserve space, order catering, etc.
- Provide event administrative support such as preparing agendas, participant lists,
nametags, etc.
- Provide day-of event assistance with set-up, breakdown and troubleshooting
- Performs other work related duties as assigned. The omission of specific duties does not
preclude the supervisor from assigning duties that are logically related to the position.
Qualified candidates will hold a high school diploma/GED plus 1.5 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:-Bachelor’s degree preferred
-Three years of professional related experience is preferred
-Proficiency with MS Office Suite including Excel and Word
-Familiarity with i-buy travel and expense applications
-Ability to learn new computer applications quickly
-Strong organizational skills and the ability to work with minimal direction, show initiative, and be a good problem solver
-Excellent communication skills
-Superior customer service skills professional
-Effective interpersonal skills and professional demeanor
