Department Overview
The UNT Oral History Program is a longstanding research initiative of the University of North Texas. Housed at Willis Library on UNT's main campus in Denton, Texas, the Program is affiliated with the UNT Department of History and supported by the UNT College of Arts and Sciences and UNT Libraries. The Program records, transcribes, and archives oral history interviews covering a wide variety of subject matter in order to preserve local, state, and U.S. history. The Program trains UNT students in the theory and methods of oral history and conducts workshops for members of the larger community who are interested in preserving their own histories. We also have ongoing partnerships with local history societies and historical museums, local, state and national agencies, fellow colleges and universities, and many other community organizations that share our mission. The strengths of the collection include (but are not limited to) World War II history, with a collection of over 1,000 interviews with WWII veterans; Texas political history; Texas business history; history of the New Deal in Texas; civil rights history; and immigration history.

Job Description
The Oral History Department at the University of North Texas is seeking to hire an Office Support Associate to join our team. Responsibilities of the position include, but are not limited to:

* Produce and verify donor documents.
* Verify accuracy of oral history interview transcripts.
* Work with outside vendor to have transcripts bound, distributes bound copies of transcripts and process orders for additional copies.
* Assist researchers using the UNT Oral History Collection.
* Full-time supervision of part-time personnel including assigning tasks, monitoring workloads, and ensuring quality of work.
* Maintain the budget for the program, prepare financial transactions (interdepartmental transfers, budget authorizations, deposits), reconcile accounts, and monitor overall program budget compliance.
* Attend various budget meetings and trainings to maintain knowledge of current budget issues and procedures.
* Provide administrative support functions to the Director and perform all clerical support functions for the department.
* Compose correspondence for program to a variety of stakeholders
* Develop and maintain complex files and databases, maintain all program files.
* Make travel arrangements and prepare expense vouchers and related documents.
* Answer phones for the program, respond to inquiries and direct calls as needed.
* Enter personnel actions for part-time employees, perform HR functions for the program and act as timekeeper for the program.
* Manage inventory of all office supplies and oral history equipment.
* Do all purchasing for the program using either Purchase Orders or Pcard. Prepare appropriate documentation as required. Ensure that all purchases adhere to University polices and purchasing procedures.
* Supervise periodic maintenance of all office and oral history equipment.
* Report to the Director concerning campus-wide issues that affect the program.
* Maintain inventory of program's controlled assets and prepare annual inventory report and space survey.
* Act as Records Retention Manager for the program, ensuring that all records are maintained and disposed of pursuant to University policy.

Minimum Qualifications
The successful candidate will possess a High school diploma and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training. The following knowledge, skills, and abilities are required:

* Advanced customer service skills.
* Knowledge of Microsoft Office.
* Knowledge of accounting/budgeting procedures.
* Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
* Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
* Ability to conceptualize, plan and organize multiple programs and assignments effectively.
* Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
* Skill in developing and maintaining good working relationships.
* Knowledge of policies, practices, procedures and terminology of assigned function.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications:

* Knowledge of UNT systems including Peoplesoft 9.2 and COGNOS.
* Basic knowledge and understanding of accounting.
* Microsoft Office proficiency including experience using Outlook, Excel and MS Word (specifically editing documents).
