The Department of Aeronautics & Astronautics seeks a Faculty Affairs Administrator to execute a variety of administrative items related to faculty activities. Currently the department has an estimated 16 tenured-line faculty, 11 emeritus faculty, and 5 non-tenure-line academic positions (not including lecturers and other teaching positions). This position will have the opportunity to collaborate with a wide variety of individuals (faculty, staff, students, etc.) in order to accomplish the department goals and meet the required deadlines. The core duties will include being the primary administrative lead regarding faculty searches, the appointment/promotion process, and questions related to these processes for the various types of faculty positions within the department. The position will report to the Director of Finance and Operations and will work closely with all faculty and staff within the department.



Your responsibilities include:
  • Gather information for search initiations, search waivers, reappointments, and promotions.
  • Provide administrative support to search and review committees and provide advice on process requirements.
  • Post job announcements, distribute outreach materials, and coordinate all logistics of search visits.
  • Gather all components of the appointment/promotion process and organize these components in compliance with guidelines.
  • Maintain records documenting search, recruitment, appointment/promotion processes, and all other faculty activities.
  • Process and track approved faculty activities (e.g., sabbatical, leaves, resignations, FTE changes, FASA forms, etc.).
  • Assist in coordination of the visa process, as needed.
  • Flexibility in completing any other assigned duties.



    To be successful in this position, you will bring:
    • An associate degree and one year of experience working with administrative processes.
    • Strong organizational skills and attention to detail.
    • Ability to communicate effectively both verbal and written.
    • Proficiency in basic computer programs (Word, Excel, PowerPoint, Adobe, etc.).
    • Ability to prioritize and multi-task.
    • Strong customer service and interpersonal skills.
    In addition, preferred requirements include:
    • A Bachelor's degree
    • Prior experience in higher education or an academic setting
