Job Description Summary

This is a 100%, 12 month, Classified, Categorically Funded (25%) Position

This position is partially funded by categorical funds, and employment at 100% is subject to those funds being available.

BASIC FUNCTION:

Under the direction of the Director, Curriculum and Scheduling/Articulation Officer, assist with the production of the class schedule and catalog; conduct audits of class sections; process room requests for non-class events; provide administrative support to curriculum related activities.

Applicable laws, codes, regulations, policies, and procedures related to higher education, specifically with regard to curriculum.
Practices, procedures, and techniques used in the development, design, and modification of class schedules and catalogs.
Standards and requirements for courses, sections, and academic programs. .
Oral and written communication skills.
Interpersonal skills using tact, patience, and courtesy. Operation of a computer and assigned software.

ABILITY TO:
Assist with the production of the class schedule and catalog.
Check sections for accuracy
Maintain a great attention to detail.
Learn new software programs and be able to troubleshoot issues as they arise.
Explain to other college personnel how to use software programs.
Communicate effectively both orally and in writing.
Interpret, apply, and explain rules, regulations, policies, and procedures.

Essential Duties

ESSENTIAL DUTIES:
Assist with the production of the class schedule and catalog; compile and process class schedule and catalog text; assure the accuracy and completeness of submitted text; assure consistency between class schedule and catalog text.

Check class sections to assure accuracy of registration and MIS data; work with Division Offices to resolve schedule building errors; maintain instructional room schedules utilizing a scheduling management system; identify and resolve room conflicts; process room requests and assignments in accordance with College policies and procedures.

Conduct workshops with new Division Office employees to instruct them on how to build sections in the district’s educational database; collaboratively plan the agenda and meeting content for regular meetings with division office classified staff; lead regular meetings with division office classified staff; serve as a resource to division offices regarding schedule building.

Serve as the office resource for the district’s scheduling management system; instruct new employees on how to use the scheduling management system; troubleshoot issues as they arise with the scheduling management system.

Assist the Director with maintaining degree audit in the district’s educational database; help to ensure the accuracy of programs within degree audit; assist with troubleshooting issues with degree audit as they arise.

Provide technical information and assistance to the Director; assist in the formulation and development of policies, procedures, and programs; evaluate and provide recommendations to increase the effectiveness and efficiency of scheduling policies and procedures.

Assist with ensuring the accuracy of associate degree and general education requirements for the class schedule and catalog.

Prepare and update scheduling instructional handbook and other related materials.

Prepare and maintain a variety of narrative and statistical reports, records, and files related to assigned activities.

Work collaboratively with college personnel to provide support and answer questions; read and respond to emails as appropriate.

Operate a computer and assigned software programs; operate other office equipment as assigned. Attend a variety of meetings as assigned.

OTHER DUTIES:
Perform related duties as assigned.

Education and Experience

Any combination equivalent to: bachelor’s degree and experience in an office environment working with great attention to detail.
