Job Description:

Job status: Full-Time, Non-Exempt
Reports To: Director of Employee Services
Dotted Line: Senior HR Generalist

The Human Resources assistant assists with the administration of the day-to-day operations of the human resources functions and duties. This is a customer service oriented position that will support the hiring and recruitment processes, and functions as the day to day point of contact for routine employee questions. The incumbent must be able to ensure strict confidentiality of sensitive information.

RESPONSIBILITIES:
Recruitment/New Hire/Exit Process

  • Participates in recruitment efforts.
  • Ensure posting approval is received, review job descriptions and post job ads.
  • Ensure background and reference checks are completed.
  • Collect new hire information and enter into HRIS.
  • Prepare new employee files.
  • Serve as a point person for all new employee questions.
  • Conducts Onboarding and associated activities (offer letters, scheduling & orientations)
  • Conducts Offboarding and associated activities (exit letters, scheduling and interviews)

    Daily job duties and responsibilities:

  • Oversee HR help phone line and email mailbox.
  • Provide customer service to College employees
  • Set appointments and arrange meetings.
  • Maintain Employee Services calendars.
  • Compile reports and spreadsheets and preparing spreadsheets.
  • Oversee supply ordering for the department copier and for Employee Services team.

    Record Maintenance:

  • Maintain current HR files and databases.
  • Performing file audits to ensure that all required employee documentation is collected and maintained.
  • Assists with processing of terminations.
  • Provides administrative support during performance review process
  • Manages online training course completions and records.
  • Oversee Forms I-9, verifies I-9 documentation and maintains I-9 files. Complete reciprocal I-9s upon request.

    Benefits Support:

  • Provides administrative support during benefits renewal process.
  • Prepares benefits packets.
  • Assists with audits.
  • Assists with events.

    Requirements:

    KNOWLEDGE, SKILLS, & ABILITIES:

  • Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner
  • Must possess strong interpersonal skills
  • Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings
  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  • Must be able to prioritize and plan work activities as to use time efficiently
  • Must be organized, accurate, thorough, and able to monitor work for quality
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback

    MINIMUM QUALIFICATIONS:

  • Associate Degree in related field and at least two years of administrative experience, preferably in a Human Resources department, or an equivalent combination of relevant experience and/or education;
  • Strong computer skills, including knowledge of MS Office Suite and database systems;
  • Excellent organizational skills and ability to follow through with accuracy, to prioritize multiple tasks, and meet deadlines;
  • Ability to exercise appropriate judgment, tact and diplomacy with confidential information;
  • Detail oriented and extremely conscientious about accuracy with data input tasks.

    Additional Information:

    This is a full-time, non-exempt position with an FTE of 1.0. Salary is commensurate with experience, and includes an excellent benefits package including medical/dental/vision/life/LTD insurance, 403(b) retirement plan with college-matching after 6 month qualifying period, 10 days of vacation for year one, 15 days of vacation for years 2-10, and 22 days of vacation years 10+ plus, 12 sick days and 17 paid holidays (subject to annual review). Staff members also receive free admission to campus events, use of the pool, fitness center, and tennis courts. Tuition remission is also available after an introductory period. Voluntary benefits include: pet insurance, long-term care insurance, legal-assistance insurance, cellular provider discounts and computer hardware discounts.
