Basic Function

NOVA’s Facilities Department is responsible for the construction, repair, maintenance and operation of all buildings and grounds. Our staff make the campus a comfortable safe and attractive place to learn, work and play. The department is committed to providing excellent customer service to faculty, staff, students and visitors of NOVA.
Facilities Management Department is responsible six different functional areas: Planning & Project Management, Capital Projects, Operations, Energy & Sustainability and Fleet Management.
The Associate Director of Administrative Services will assist in ensuring the success of the department by ensuring all administrative functions objectives are aligned with the departments overall plan and consistent with and supportive of the department’s mission and the institutional mission of the College.

Duties and Responsibilities

The Associate Director, Administrative Services is responsible for overseeing:
•Strategic Department Planning
•Budget/Finance Management
•Environmental Compliance Program
•Safety Compliance Program
•Document & Software Management
•Fleet Management Program
•Office Administration
•Staff Development and Training Program
•Have valid driver’s license and good driving record. Take all required training and meet requirements in order to gain and maintain approval for drive State vehicles.

Minimum Qualifications

Education: Bachelor’s degree in Facility Management, Business Administration, or similar education, experience or training.

Preferred Qualifications

Master’s Degree, Experience in higher education, Facilities Department experience, experience with environmental issues, Commonwealth of Virginia procurement, safety, training program development.

Required Knowledge, Skills, and Abilities

Effective and persuasive leadership comfortable with all levels of staff, public and others. Proven management skills and ability to manage day-to-day operations. Strong written and oral communication skills, including the editing, oversight or preparation of technical reports, and the presentation of information to leadership and various committees. Strong interpersonal and public relations skills to work effectively with various officials, staff, and other customers. Strong organizational skills, and problem-solving. Ability to exercise sound and independent judgment within general policy guidelines. Ability to manage complex projects and deadlines. Ability to develop and manage effective human resources, policies and procedures.
Ability to organize, prioritize and perform under pressure in both public and internal capacities; computer literacy including working knowledge of typical office software products, project management and estimating software; ability to communicate effectively verbally and in writing; strong interpersonal skills.
