UCLA Recreation provides extensive access to a broad range of recreational activities and services. The department offers programming which encompasses the competitive, passive, social, cultural, and instructional aspects of recreational activity. In addition, UCLA Recreation manages 15 of the University's recreational and athletic facilities offering recreation, sport, and numerous multi-use options for student and university events.

Under the direction of the Human Resources Manager (Admin Analyst, Senior), the Human Resources and Purchasing Specialist provides personnel/payroll, fiscal and administrative support for UCLA Recreation. Provides support in the processing of biweekly and monthly payroll and assist staff in meeting submission deadlines. Work in conjunction with departmental staff, the Central Resource Unit, and UCPath Center to resolve discrepancies. Deliver exemplary customer service to both internal and external customers. Responsible for processing biweekly and monthly payroll transactions, retroactive salary adjustments, etc. as directed. Maintain accurate and current personnel information of all on-line personnel transactions using UC Path.
The position prepares and enters part-time and student hiring paperwork; reviews and submits payroll; prepares work-study paperwork; troubleshoots pay and other employee issues. Additionally and secondarily, the incumbent supports the purchasing and procurement for Recreation programs; prepares all Bruin Buy/PAC, Pro-card, Interdepartmental Recharges, Recharge Order Requests, Parking Service Request, Petty Cash, Invoices and Campus Deposits; and maintains the appropriate records for volunteers. Other duties as assigned within the scope of this role. Demonstrated working knowledge of payroll policies and procedures, timekeeping and reporting principles. Preferred 2. Excellent interpersonal skills to establish and maintain cooperative, tactful and effective working relationships with coworkers, supervisor, University employees and external vendors. Required 3. Demonstrated ability to work independently with minimal direction, make independent judgments and/or decisions and discern when action of a higher level is required. Required 4. Working knowledge of recruitment, employment process and employee relations principles. Can be trained 5. Working knowledge of university accounting procedures and standard business practices, including accounts payable, university travel, purchasing, inventory control and forms. Working knowledge of the University's Employee Database entry/update system and Payroll Time Reporting system. Preferred 6. Skill in computer software applications, particularly in a Windows environment, including Microsoft Excel, Word and Access programs. Required 7. Typing skills sufficient to enter vast amounts of information into computerized recordkeeping and processing systems accurately and timely in order to meet campus deadlines. Required 8. Demonstrated ability to handle confidential matters with tact and diplomacy and to maintain confidentiality of information as needed to protect the rights of individuals or the University. Ability to maintain sensitive information confidentiality. Required 9. Ability to prioritize and organize workflow in order to meet deadlines. Required 10. Demonstrated skill in performing one's job under pressure of frequent interruptions, conflicting demands, changing priorities and heavy workloads while maintaining thorough attention to detail. Ability to manage varying competing tasks appropriately. Required 11. Demonstrated mathematical skills sufficient to calculate budgetary figures, use computations such as ratios, rates, and percentages applied to general categories (personnel costs, programmatic data, and overhead costs), and other financial information with speed and accuracy. Skill in math functions including the calculation of percentages. Required 12. Skill in speaking and reading English to be able to communicate effectively with many different constituencies. Required 13. Ability to write memos and correspondence using grammatically correct English. Required 14. Degree from an accredited 4-year institution.
