Job Purpose: Provide administrative and logistical support to assigned degreed and/or non-degreed academic program offerings of an Institute college or school. Facilitate the various actions required to successfully offer and conduct academic programs. These actions may range from student recruitment to course evaluation.   Major Responsibilities:

  • Coordinate the application process through response to prospect inquires, scheduling interviews, maintaining applicant records, etc.
  • Oversee student recruitment/program promotional event preparation.
  • Serve as primary point of contact for students and prospective students regarding assigned program offerings.
  • Coordinate preparations for conducting courses which may include classroom or facilities scheduling and preparation, ordering and distributing course materials, etc.
  • Prepare and update course schedules.
  • Process vendor payments associated with assigned program offerings.
  • Distribute and collect course evaluations; summarize and prepare reports.
  • Perform other related duties as assigned.
  • Basic Qualifications:
  • Education: Bachelor's degree in Academic Affairs, Business Management, Education or related field
  • Work Experience: Three to four years job related experience.

  • Skills: This job requires knowledge and skills related to educational program administration; customer service, oral and written communications; organization; multi-tasking; maintaining accounting records; use of basic and specialized computer applications.

•Preferred Skills: Strong computer skills including Excel and Outlook; experience using learning management systems; Banner experience is preferred; experience with Slate or other CRM systems; looking for a critical thinker and problem solver     Recently, the Office of Graduate Studies and graduate education at Georgia Tech have undergone rapid expansion in the areas of extended orientation, recruitment, student support services, and other graduate enrollment management projects.  In order to support ongoing, expanding, and highly impactful initiatives, the Office of Graduate Studies has created a new “Academic Program Coordinator” position to help plan and coordinate these programs.  While this position will not directly oversee a typical degree-awarding graduate program, it will have broad impact on recruitment, retention, and support of Georgia Tech’s nearly 17,000 (as of fall 2018) graduate students.
 
Job responsibilities for this Program Coordinator will include planning and coordinating events, enhancing student engagement with existing support services, and support for existing programs offered by the Office of Graduate Studies.  These programs include: Grad Groups, Graduate Pathways for Success (GPS), prospective student Campus Visits and Tours, the Graduate Resource and Information Network (GRIN), institute-level graduate student orientation, GradExpo, student trainings, and other aspects of graduate enrollment management.   Program Coordinator for Student Recruitment/Onboarding/Services Duties:

  • event planning, coordination, and assessment
  • engaging internal (within Georgia Tech) and external (outside of Georgia Tech) vendors
  • internal event/program advertising
  • program assessment
  • communication strategy/planning (including developing content for and using a CRM system)
  • critical thinking and problem solving
  •   Impact & Influence: This position will interact on a consistent basis with: faculty members, prospects, students, vendors. This position typically will advise and counsel: prospects, students, vendors. This position will supervise: NA
