DESCRIPTION: Under general supervision, provides administrative, clerical and logistics support to the English Department. Serves as confidential assistant and functions as the key support staff person in coordination and implementation of the department’s day-to-day office operations.

The duties and responsibilities include, but are not limited to, the following:
• Serve as public face and liaison for the English Department and Media & Visual Culture Studies Program: first point of contact for all students, faculty, staff, administrators, parents, visitors.
• Maintain offices, classrooms, computers, and office equipment.
• Provide administrative support for faculty.
• Act as liaison between College Dean’s Office, CAS Departments and Programs, Registrar’s Office, Facilities, Copy Center, and ITS.
• Assist in the administration of English and Art History/Media & Visual Culture Studies, including coordination with other academic departments, campus programs, student groups, and offices within the University.
• Assist with the organization and coordination of announcements, facilities, and catering for
campus events and programs in English and Art History/Media & Visual Culture Studies including logistical support requiring scheduling, preparation of materials, etc. for multi-day faculty workshop.
• Provide clerical support for the office such as preparing and copying course materials, spreadsheets, filing, maintaining records; sorting and distributing mail. Assists with budget management, processes check requests and reimbursement requests for expenses related to faculty activities and travel.
• Update and maintain department and faculty information on University Website, ensuring the visibility and accuracy of information on all relevant pages (e.g. public directory).
• Maintain records pertaining to majors and minors (routing declaration forms, degree modification forms, etc.), and managing a listserv for majors.
• Take primary responsibility for collating and publicizing course offerings from different departments semester to semester, and maintaining these records.
• Manage classroom scheduling, faculty course evaluations, and faculty searches, including advising faculty of University policies and procedures.
• Manage all administrative and academic files, prepare forms and correspondence, create spreadsheets, and photocopy. Maintain department key box and order keys as needed.
• Supervise student workers including hiring, training, performance evaluation and timesheet review.
• Complete and review all travel and expense reimbursement forms for accuracy and completeness.
• Order office supplies and other materials as needed.
• Monitor and reconcile budget expenditures.
• Post and make edits to departmental Moodle page as needed.
• Work under conditions requiring significant self-direction in the prioritizing of daily work, long-term task planning, and ability to be productive with limited supervision.
• Maintains department confidence and safe guards operations by keeping information confidential; adheres to all safety and housekeeping policies and procedures. Contributes to team effort by accomplishing related duties as needed.
• Performs other duties and special projects as assigned.

MINIMUM QUALIFICATIONS: Position requires a high school diploma or equivalent with two (2) years of additional coursework in related fields such as business, secretarial, computer software/word processing and spreadsheet programs plus three (3) years of related experience in a similar position or an equivalent combination thereof. Must be able to work with a high degree of autonomy in decision making; be accessible to students and responsive to their needs. Considerable knowledge of secretarial procedures and word processing, basic math skills and knowledge of recordkeeping required. Evening hours and off campus travel are required a couple times during the year. Must have exceptional communication, organizational and customer service skills. Ability to interact effectively with on and off-campus contacts and handle multiple tasks with tight deadlines. Must be able to competently interact with a diverse population of students, staff and faculty.
