Position Description:
Under the general supervision of the Sr. Fiscal/Administrative Officer (MSOII), incumbent will serve as Event Planner/Coordinator, Personnel Officer, Bruin Buy and Travel Express processor for EAOP and BruinCorps which includes the AmeriCorps VISTA program. Incumbent will serve as the primary logistics planner and coordinator for EAOP events and campus activities, collaborating with EAOP senior staff, researching and making all arrangements and providing support in the implementation of program activities including Saturday Academies, test preps, summer programs, grant funded projects, tallying program evaluations and providing summary reports. Personnel responsibilities include processing personnel and payroll actions for 15-20 FTEs and up to 200 biweekly student employees. Incumbent will maintain personnel files and rosters of current employees, reviewing timesheets ensuring proper time, accruals and usage for time worked, vacation and sick leave. Coordinate and prepare all new employee hires and separation documents according to UCLA policies and procedures and serves as the departments' main resource for Campus Human Resources. As BruinBuy preparer, process accounts payable related functions including preparing LVOs, check requests, arranging travel requests; and preparing travel and mileage reimbursements. Train and supervise office student support workers. Position will support EAOP website and program publications ensuring program data is kept current. Incumbent will have generous back-up personnel and BruinBuy support from the MSOII.
