OpenStax (part of Rice University) is a non-profit textbook publisher, learning software producer, and platform for learning research. Our mission is to provide every student with free or low-cost access to high-quality learning materials and tools that help them succeed in their education and career. We have created a library of free and openly licensed college textbooks that have served 6.2 million students, resulting in $576 million dollars in savings. We have created software to help college students in three of those subjects read with more engagement and practice more effectively, incorporating our research team’s expertise in cognitive science and machine learning.

We are embarking on an ambitious and exciting strategic initiative to create a unified OpenStax experience for the faculty and students that use our textbooks and learning tools. We are creating a compelling student experience for our entire library that generates meaningful data that we can use to improve student performance and learning. This new platform will also serve as the hub for learning research, where we can discover what learning strategies best serve students given their individual differences (personalization) and then turn those discoveries into practical benefits for students.

We are seeking a talented Administrative professional who will provide guidance to faculty and department leadership on administrative operations and university policies. May supervise nonexempt individual contributors and manage areas of administrative and operational functions of the department, primarily in the areas of human resources, compliance and financial management.

This position is grant funded and continuation of this position is dependent on funding and need.

Education Required Bachelor's Degree Major/Discipline Substitution for Education Requirement

May substitute additional related experience, above and beyond what is required, on an equivalent year for year basis in lieu of the education requirement.

Education Preferred Experience Required 5 years Type of Experience

Related experience in an area requiring similar keen attention to detail such as fund accounting, financial planning & analysis, or other related area

Education may not be substituted for the experience requirement.

Experience Preferred

- Experience working in higher education
- Experience in an accounting position involving responsibility of human resources and complex administration

- Expert knowledge of word processing, spreadsheet, email, and database software programs to either complete work assignments or direct the completion of work assignments

- Leads strategic financial planning and analysis for OpenStax
- Independently manages the administration and evaluation of functions or programs
- Prepares and reviews operational and financial reports and schedules to ensure accuracy and efficiency
- Sets goals and deadlines for the department

- Manages division budgets, human resources and facilities functions

Pre and Post Award Administration
- Prepares, oversees, tracks and reports on complex proposals, submission process, and status
- Provides senior personnel guidance on requirements of the IRB, IACUC, COI, IBC, and researches related regulations including proposal submission and award set-up
- Serves as a liaison with OSR, RCA, IRB, IACUC, OTT, internal audit, funding agencies and organizations, subcontractors, institutes, centers and other departments in coordination with PI and other senior personnel
- Coordinates with faculty and project management to ensure all charges are allocated properly
- Interprets proposal guidelines and award documents and advises PI on award spending, over- / under-spending
- Carries out procedures at the unit level related to post-award administration
- Prepares, finalizes and monitors project budgets and projections in accordance with research guidelines and operational needs
- Prepares, reviews and submits required reports, including progress and routine financial reports
- Coordinates and reviews fund setup, fund close out activities, and close out analysis including internal reporting of over/under expenditures on projects
- Reviews, tracks, monitors and approves expenditures, including high-value / high-risk expenditures and cost-sharing commitments
- Independently projects fund usage and alerts senior personnel in advance of the need for no-cost extensions
- Responds to accounting audit inquiries related to grants
- Monitors and oversees compliance with policy and grant terms
- Manages effort commitments of personnel; completes routine effort reporting
- Performs all other duties as assigned
