MITM is searching for a full-time Research Program Associate for its administrative office. This senior level position focuses on providing research program support and pre-award management on behalf of the MITM research program. This position makes recommendations to policy and procedures, and may have authority to implement changes with minimal supervision. This position often maintains fiscal responsibility, as well as outreach to other GW stakeholders in order to assist in maintaining standard operational efficiencies. This position works closely with Principal Investigators, managing day-to-day operations through direct grant award and administrative contributions to ensure research success. This position will be responsible for the coordination, development and oversight of the overall pre-award activities of the department’s sponsored research projects. These include complex multi-site and international projects from a variety of sponsors, federal and non-federal. The individual will work directly with the PIs on their proposal submissions and will be expected to function independently, with general oversight from the Department Manager and coordination with the Grant Financial Administrator and other members of MITM’s administrative team.
• Oversees sponsored project proposals, including budgets.
• Oversees budget development to meet all Requests for Awards (RFA) and project needs and guidelines; ensures compliance of budget with University policies and procedures and sponsor regulations; reviews budget with faculty Principal Investigators (PIs) and refine as necessary; ensures application of allowable indirect costs and fringe benefit rates; collaborates with the PIs to review technical proposals and ensure integration of the budget section with the technical proposal; and serves as a liaison between the department and the Office of the Vice-President for Research (OVPR).
• Oversees all communication and coordination with subcontractors, public, private and government agencies, (i.e. academic institutions and private foundations) and other individuals or groups to exchange information, enlist collaboration, prepare proposals and submit and implement sponsored projects and award proposals.
• Oversees and coordinates time schedules for preparation and submission of proposals; obtains necessary authorizations/signatures, submits proposals and follows up on proposal status.
• Monitors proposal status with the PI and gathers Just-in-Time information for submission, if requested. Upon receipt of new grants, coordinates award set-up with the Department Manager, Grant Financial Administrator and OVPR (establishments, contracts, sub-awards, etc.).
• Maintains familiarity with University policies and procedures and federal grant and contract regulations; establishes and maintains grant proposal files and updates appropriate databases; prepares and updates annual and other periodical reports as requested; prepares and updates biosketch and other support files as requested; monitors PI effort commitments for current and pending proposals
• Identifies issues and streamlines activities that further benefit the department and OVPR.
• Enhances professional knowledge and skills by attending seminars/workshops and reviewing published literature.
• Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:
• CRA certification.
• Administrative and financial experience in higher education research administration, research supported programs or related function, preferably in a medical school or other bio-medical environment is desired.
• Knowledge and experience with NIH extramural funding programs is highly desirable.
• Proficiency with Excel and Word. Ability to learn new computer applications quickly.
• Ability to work under pressure to meet deadlines and to prioritize multiple tasks and demands.
• Strong communication and excellent organizational, customer service and interpersonal skills are preferred.
• Ability to work independently, learn actively, and function at a fast pace is key to success in this position.
