Serve as the UCLA Mathematics Program Coordinator under the general direction of the Project Director and Director of Business Administration in Center X, within the Graduate School of Education & Information Studies, the UCLA Center X Program Coordinator manages, coordinates and implements daily programmatic, financial, and administrative activities for the UCLA Mathematics Program. Major Responsibilities: Management of Program Activities including event management and coordination for on and off-site meeting and professional development initiatives. This includes managing resources, partners, participants, and facilitators. Periodic support and coordination of extension course scheduling for professional development activities for teachers and maintain teacher/school recruitment information. Provide day-to-day monitoring of Program's/Project's financial activities, serve as liaison to school district personnel and teachers. Program Coordinator is also responsible in representing the Project Director in various setting/meetings and supporting Center X-Wide events when necessary, in addition to other duties as assigned. Demonstrate working knowledge of accounting principles and computerized purchasing and accounts payable systems. Required 2. Ability to work weekends if necessary, drive to various school sites on a regular basis. Required 3. Ability to work responsibly and accurately with detailed information including: financial data and calculations, contract clauses and performance dates, and other numeric narrative information. Required 4. Independently determine appropriate personnel to handle action items; monitor status of tasks and follow through to completion. Ability to conduct effective small group meetings with project support staff to plan, schedule, and coordinate workflow. Required 5. Ability to identify methods increased efficiency in working operations and propose modifications. Required 6. General office management skills to oversee operations and implement efficient office systems. Required 7. Ability to deal with confidential and sensitive information with discretion, and to maintain professional working relationships with sponsors, industry, government, the UC and other academic and corporate institutions. Required 8. Excellent interpersonal skills, communication skills, and usage of language to clearly convey information verbally and in writing. Ability to present persuasive arguments and use negotiation skills to achieve mutually agreeable solutions. Required 9. Demonstrated ability to work as part of a team and assist other administrative support staff with clerical and administrative tasks as needed. Required 10. Ability to accept delegated work, validate expectations, problem-solve obstacles, and follow-up to completion and/or report status of delegated tasks. Required 11. Ability to work independently, meet fixed deadlines, and follow through tasks to completion. Required 12. Demonstrated ability with University on-line financial systems/ledgers including BRUINBUY, TOF, and OFSR. Preferred 13. Working knowledge of University policies and procedures such as accounting, travel, purchasing, facilities, mail and expedite tasks with associated central offices. Preferred 14. Demonstrated ability to efficiently use Macintosh and PC computers with advanced working knowledge in Excel and Microsoft Project or equivalent project management software; demonstrated knowledge of Word, PowerPoint, and FileMaker Pro. Required 15. Strong organization skills to set priorities and work with frequent interruptions. Required 16. B.A/B.S; or equivalent combination of education and experience.
