This is a full-time (1.0 time-base), benefits eligible, permanent position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

This person will provide administrative support for student advisement and services faculty and staff, including the undergraduate nursing advisor, the RN-BSN advisor, and the graduate advisor. The role includes managing the appointment schedules of three people, following up with student applicants, responding to student inquiries, maintaining records of meetings, updating student records, collecting data for annual reports, oversight of student record storage, and cross training for coverage of other administrative roles in the School of Nursing office. Working with the School Director, Associate Director, the three advisors, and the office Manager, this person will develop independence in responding to student questions regarding programs of study and managing operations for a minimum of three faculty/staff positions. This person will work directly with the ASCII in the School of Nursing to assist in student placement management and other projects in the School as needed.

The incumbent will provide support to the director and other faculty in the preparation of required reports to the Board of Registered Nursing and the American Association of Colleges of Nursing. This will include the storage and retrieval of data from multiple sources, construction of tables and documents, and development of written draft reports.

Starting salary upon appointment not expected to exceed $3,130 per month. CSU Classification Salary Range: $2,846 - $4,998 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Preferred Qualifications and Specialized Skills

  • Familiarity with WebPortal, SIMS/R, Oracle, Blackboard/Canvas
  • Experience working in a large, complex organization such as a higher education, public agency, government, military or health care setting.
  • Knowledge and understanding of FERPA requirements, and possess the ability to maintain confidentiality related to student data.
  • Minimum four years of experience in an administrative/office setting
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
  • Experience retrieving data from multiple data sources to construct new tables and documents for data analysis and reporting.
  • Ability to perform standard arithmetic functions related to data organization, presentation, and reporting, including creation of calculated and summation fields.
  • Demonstrated ability to communicate clearly and effectively orally, in writing, and using electronic communication methods with faculty, staff, students, and the general public.
  • Experience managing multiple calendars and/or schedules.
