The CLAS Department of Integrative Biology has an opening for a full-time University Staff (unclassified) Graduate Program Coordinator position.

This position will work in support of Doctoral and Master’s Graduate Programs in the Department of Integrative Biology, a dynamic, student-centered academic program at CU Denver.  The goal of the Graduate Programs in Integrative Biology is to help students improve their chances of success in life science related careers (https://clas.ucdenver.edu/integrative-biology/academics/graduate-programs).
Position Emphasis: 
The Department of Integrative Biology is one of the largest departments in the College of Liberal Arts and Sciences (CLAS) at the University of Colorado Denver. The Graduate Program Coordinator serves a crucial role in the success of the Department of Integrative Biology by managing, coordinating, and overseeing the operations of the department graduate studies programs.  Briefly, this full-time, University Staff (unclassified) position will embody several essential responsibilities—administering and managing graduate student admission, retention, and graduation; monitoring programmatic financial operations; and performing program specific administrative functions with the intent to advance program goals and objectives. 
The Graduate Program Coordinator is a key member of the team in facilitating student success in the admission, retention, and graduation of graduate students.  This position is the primary point of contact for prospective and enrolled graduate students.  The Coordinator answers prospective student questions about admission criteria, application procedures and deadlines, residence, graduate requirements, and the required establishment of a research faculty sponsor/adviser.  This position oversees graduate student applications.  This includes the coordination, organization, and preparation of admissions applications for department review according to Graduate College and specific program guidelines and requirements.  Duties that involve enrolled department graduate students include the maintenance of graduate student records. The Coordinator acts as the official liaison between the department and the graduate college.  The Coordinator maintains and disseminates up to date program policies, procedures, and deadlines, and assists students to identify appropriate resources. The Graduate Program Coordinator monitors graduate student progress towards program milestones, assists students to plan for upcoming semesters to satisfy program requirements, and advises about scheduling of required courses to fulfill program expectations and satisfy course requirements to degree completion.  
This position is responsible for programmatic and financial operations by accounting for several budgets related to the operation of graduate programs in the Department of Integrative Biology.  Implementation of individualized student financial support plans (as configured by the Graduate Director and associated research faculty upon acceptance to the program) require the Graduate Program Coordinator to track budgets associated with the payment of graduate student teaching assistantships, tuition, stipends and research assistant funding as part of the overall funding plan. This may also include the confirmation of scholarship and award applications, and processing of scholarship and award payments. This position provides human resource and payroll support to hire Research Assistants that work in the department, and with associated university affiliates off campus.  The Coordinator works closely with department faculty to place Graduate Teaching Assistants into lecture and lab sections to meet department deadlines and those established by CLAS HR.  In collaboration with leadership, the Graduate Program Coordinator provides budgetary oversight with fiduciary responsibility for the proper use of funding and fiscal planning to ensure that adequate resources are available to realize program goals. This requires accounting, analysis, and preparation of highlights for leadership recommendation.
This position is tasked with administrative duties to directly support program initiatives to advance program goals.  Periodic reports to highlight program outcomes require gathering, analysis, and synthesis of student-related and program budgetary data to provide program summaries with the intent to make recommendations to leadership.  This includes making recommendations for future changes to optimize program development, and to identify deficiencies given current policies, procedures, or budgetary restrictions.  The Graduate Program Coordinator organizes and coordinates new graduate student orientations, teaching assistant orientations, and ensures representation on collegiate and/or University governance committees as appropriate.  The Coordinator represents the Department Chair and Graduate Program Director to provide high quality, efficient, student-driven support and programming by working with and establishing positive, collegial relationships with program leadership teams as well as all staff, students, on-and-off campus constituents, auxiliary campus offices, and University and external communities.  Correspondingly, the individual in this position requires the ability to engage stakeholders appropriately to ensure the best outcome for students, external and internal stakeholders, and the overall program.  This position requires project management skills, effective analytical skills, and problem-solving skills; excellent organizational skills; ability to work well under pressure; and the ability to handle varied, complex and concurrent tasks with multiple leaders. This position must be able to work with minimal supervision, have a strong work ethic, and be able to meet immediate and evolving deadlines to accommodate the cyclic and seasonal nature of the duties as described above.

Conditions of Employment:  Must be willing and able to work flexible hours in this position. Some evenings and weekend hours may be required.  
Salary and Benefits:
The hiring salary for this position has been established at $49,404  and is commensurate with skills and experience.  This position is not eligible for overtime compensation

QualificationsMinimum Qualifications:
  • A bachelor’s degree from an accredited institution. 
    • Substitution: a combination of education & related technical/paraprofessional experience may be substituted for the degree on a year for year basis.  
  • Two (2) years of professional experience  providing financial management and administrative support.  (Para-professional experience cannot be substituted for professional experience).
Preferred Qualifications:
  • Master’s degree from an accredited college or university.
  • Demonstrated professional experience working with and advising diverse students in a higher education setting.  
  • Professional experience with finance related duties: budget management, gathering and analyzing data to prepare reports 
  • Experience utilizing technology that support business operations in higher education (HCM or related HRIS systems, eProcurement system, CU SIS <student information system>, CU Market Place, CU M-Fin reports etc.). 
  • Experience providing HR and payroll support services.
  • Successful experience enforcing and explaining complex College and University policies and procedures.
