Assistant Registrar, Records Job Number Full/Part Time Schedule Salary 201902278781 Full Time 8AM - 5PM $60,100 - $118,300 Position Information The Assistant Registrar for Records oversees the unit who ensures the accuracy, completeness and confidentiality of all student records in accordance with the Family Educational Rights and Privacy Act (FERPA) including course enrollment, enrollment verification, transcripts, residency for tuition purposes, and other academic record updates. As a member of the office management team, this position plays a key role in creating an office environment that engages the office staff, builds efficiencies to support the campus needs and provides leadership for excellent customer service to the academic community. The Assistant Registrar plays a significant role in moving the technology and efficiency of the unit forward and building strong partnerships with those on campus for collaboration and problem-solving. Please note: The salary offer will be commensurate with experience and education within the budgeted range of $70,000 - $89,200. Education Education Requirements Degree Requirement Bachelor's degree in related area and/or equivalent experience/training. Special Conditions Special Condition Requirement Must possess or obtain a Valid CA Drivers License in accordance with the California Department of Motor Vehicles, if driving a university/personal vehicle for university related business. Preferred Ability to travel to on and off campus locations for conferences and occasional University related business matters. Required
Minimum Requirements Advanced working knowledge of policies, regulations, and practices with registration management, student records management and retention.
Experience using complex databases; ability to define specifications for database programming. Proficiency manipulating and analyzing large volumes of data.
Skill in analyzing and applying academic policy to office operations and incorporating creativity to meet client needs.
Advanced skills in problem identification, critical thinking, and problem solving skills; judgment and decision-making ability. Ability to assess business processes, identifies operational gaps, and implements improvements.
Organizational skills and ability to prioritize work and meet deadlines. Project management skills.
Strong interpersonal skills to establish and maintain cooperative relationships with campus departments, UC campuses and external agencies.
Advanced specialized knowledge of particular Registrar core functions.
Advanced written and verbal communication skills. Active listening skills. Customer service orientation. Interpersonal skills.
Advanced knowledge of advising and counseling techniques to deal with challenging issues from constituents.
Proficiency with standard office software internet, and email applications.
Ability to interpret complex policies and develop procedures to ensure compliance in a diverse learning community.
Ability to identify opportunities for operational improvement, suggesting innovative solutions (particularly technology-based solutions), and implementing them in collaboration with campus partners and existing structures/constraints.
Preferred Qualifications Advanced knowledge of University policies, processes, and procedures, including those related to supervising employees, and of Federal and California laws pertaining to the privacy rights of students and access to student information.

Ability to select and train staff, setting goals and evaluating performance, providing timely and helpful guidance and feedback, assigning and managing a unit's workload ensuring accuracy and timely completion of tasks.

Thorough knowledge of Ellucian's Banner software particularly in the areas of enrollment and academic history.

Strong knowledge of common University-specific computer application programs.
