This position assists the Vice President in the daily operations of the Division of Institutional Advancement. The position requires an individual with a high level of initiative, exceptional organization, communication skills and adaptability to a dynamic and fast-paced environment. The successful candidate will manage divisional budgets and projects, lead special assignments. Strong interpersonal skills and the ability to problem solve and work independently in a team-oriented environment are essential to the position. The position regularly requires exercise of independent judgment and a comprehensive knowledge of the university. 3+ years demonstrated experience providing analytical and executive level administrative support to executive management and to the operations of a challenging executive environment.

Demonstrated ability to exercise discretion, sound judgment and maintain strict confidentiality regarding sensitive issues.

Organizational skills to independently prioritize manage and complete multiple complex analytical and administrative tasks to and meet deadlines in an environment of frequent interruptions and changing and competing priorities.

Skill and experience to manage administrative operations of an office/unit, including flow and storage of paper and electronic information, facilities and equipment management, and procurement of supplies and materials.

Skills to independently collect, review, analyze, comprehend and summarize a variety of information and data, determine and initiate action, and prepare and provide reports.

Ability to anticipate and analyze problems and issues, determine appropriate solutions, and take action to mitigate potential negative effects as part of a team.

Interpersonal skills to establish and maintain effective relationships, and in interactions with co-workers, all levels of university administration, faculty and staff, and a diverse public constituency in a professional manner as appropriate.

Verbal communication skills to speak clearly and distinctly and to communicate on the phone and in person with a diverse constituency in a professional manner.

Advanced written communication skills and ability to write, edit and proofread correspondence and other documents designed to communicate with a diverse constituency in a professional manner appropriate.

Ability to work independently and in cooperation with units and offices on and off campus.

Ability to manage multiple projects and tasks with varying degrees of importance and significance.

Act in a professional manner using best practices and sound judgment and discretion.

Detail orientated.

Aptitude toward multi-tasking independently or with a group. Intermediate level of Microsoft Word, Excel, PowerPoint and Outlook. Testing Requirements: Illustrative Examples of Work: The successful candidate will support the Vice President for Institutional Advancement: This includes, but is not limited to, coordinating meetings, determining priorities for calendaring, ensuring that all materials needed for appointments/meetings are ready and available in a timely fashion and coordinating the Vice President's travel.

Additionally, the successful candidate will:

Progressively anticipate, analyze, and meet the administrative demands of the Vice President's office, multi-tasking to effectively handle a rapid pace of activity and frequently changing priorities. Make independent decisions regarding information to be forwarded to other staff members for action and/or follow-up on behalf of the Vice President. Direct internal and external inquiries to appropriate departments and/or staff members and ensure situations are resolved.

Provide high-level administrative support to the Albany State University Foundation Board of Trustees.

Respond to telephone and email inquiries, provide potential donors with the information they need to make a gift.

Collect, sort and open the mail for the Division of Institutional Advancement.

Provide financial management assistance by submitting invoices for payment, tracking expenses, and helping with the preparation and maintenance of the division's annual budget.

Working closely with the President's Office to coordinate the President's availability, along with the Vice President and in order to travel to events, and for meetings with individual and corporate donors.

Communicates with senior administrators, trustees, donors, alumni, and friends of ASU on behalf of the Vice President on a variety of matters.

Coordinate and support special events (Founder's Day, Homecoming, Commencement and etc.), projects, and initiatives, often working with appropriate department directors, the President's office, and other senior administrators on campus.

Provide database assistance in recording donor and alumni communications, updating information, generating reports, and developing lists for fundraising initiatives, events and mailings.

Screen all phone calls, visitors, email and mail correspondences addressed to the Vice President for Institutional Advancement and assimilate information in order to develop and propose potential action, respond, create a solution, new process and/or procedure and independently redirect inquiries, as appropriate.

Coordinate and monitor document approvals, obtain required signatures, and route to appropriate party.

Research various data points/articles/etc. to produce reports and create presentations.

Albany State University is a four-year institution in southwest Georgia offering undergraduate and graduate liberal arts and professional degree programs, and a wide range of outreach programs to the community. Albany State University is located in Albany, a progressive city of 100,000, on a 206-acre campus featuring impressive new buildings. Both traditional and non-traditional students make up the more than 4,000 students who attend Albany State. They come primarily from southwest and middle Georgia, Atlanta, other states in the U.S., and several foreign countries. The average student age is 24 and about 40 percent of the students live in on-campus housing.

Albany State offers more than 30 undergraduate degree programs, of which the most popular majors are biology, criminal justice, computer science, middle-grades education, business administration and nursing. The University offers six advanced degrees: the master of science in criminal justice, master of public administration, master of business administration, master of science in nursing, master of education in 11 majors, and an education specialist degree. The university also offers the Board of Regents' engineering transfer program and the dual degree program in engineering with Georgia Tech.

Students at Albany State stay busy after class by participating in 59 clubs and organizations including bands, choirs, religious groups, honor societies, several major Greek and honor sororities and fraternities, and ROTC. An NCAA Division II school, Albany State's intercollegiate sports include men's football, basketball, baseball, track and field, cross-country and women's basketball, volleyball, cross-country and track and field.

A historically black institution, Albany State was founded in 1903 as the Albany Bible and Manual Training Institute and supported by private religious organizations. It remained privately supported through 1917, when it began to receive state support and became the Georgia Normal and Agricultural College. It continued to grow and in 1932, when the Board of Regents was established, it became part of the University System of Georgia. The mission was expanded in 1943, and it became a four-year college and assumed the name Albany State College. In 1981 the college offered its first graduate program and in 1996 its name was changed to Albany State University.
