Job TitleAdministrative Assistant -Office of AdmissionsJob Summary

The purpose of this position is to welcome campus visitors to the Office of Admissions by greeting them in person or via telephone; answering or referring inquiries.

This position provides administrative support and guidance for the department and visitors by managing the campus tour process, maintaining employee and department directories and providing instructions or directions.

Essential Duties and Responsibilities

•Welcomes visitors to the Office of Admissions and assists with general inquiries regarding admissions, financial aid, scholarship and recruitment
oDirects inquiries accordingly to appropriate contact
•Conducts admission information sessions for families and group tours
•Provides admissions materials to prospective students and visitors and responds to questions not limited to admissions
•Provides administrative support for the recruitment team, e.g. processes expense reports, makes travel arrangements, preparing materials
•Manages the daily scheduling of campus tours, responds to tour requests, confirm or decline requests
•Coordinates the daily Admissions campus visit schedule
•Works directly with the Associate Director and with Spelman Ambassadors on special projects or additional assignments; assigns tasks and tours to Ambassadors as needed
•Assists Admission Counselors, student ambassadors, and faculty with special requests
•Maintains master binder of college fair invitations and recruitment events
•Maintains and updates college fairs in Slate and assigns to appropriate counselor; ensures accuracy of master travel calendar
•Performs clerical duties as assigned such as copying, assisting with bulk mailings, creating labels, calendars, and data entry;
•Manages inventory of recruitment materials and publications
•Manages requests for materials from prospective students, high schools, and alumnae
•Manages the Admissions email inboxes and coordinates follow up as needed

Required Qualifications

Associate or bachelor’s degree preferred. High school diploma or equivalent required. A minimum of three years of related work experience is required.
This position requires strong customer service focus, communication, and time management skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential. Independent judgment is necessary to plan, prioritize and organize a diversified workload with attention to detail. Incumbent must be flexible and use best judgment with assigning Spelman ambassadors, scheduling space for information sessions, following up via email or phone and ensuring an overall pleasurable experience for the visitor.

Excellent oral communication skills are required when providing information and responding to questions from students, parents, employees and the general public in one-on-one or group situations. Incumbent must be able to write business correspondence and procedure manuals plus compose memos, letters, and emails. Also, must be able to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Good proofreading skills are essential.

This position requires basic level skills in specific Microsoft Office applications and may require intermediate or advanced levels in one or more applications. In addition to producing correspondence, duties may involve assignments that require creating spreadsheets using formulas, tables, creating newsletters, and the use of Lotus Notes and Banner Financial Module. Must be able to generate spreadsheets, graphs and Power Point presentations.
