Basic Function

The Student Life Office provides student engagement activities including, but not limited to, social and cultural events, involvement in student clubs and organizations, and developing student leadership opportunities for NOVA students. The office also develops training and recognition programs for student leaders and coordinates travel and volunteer opportunities for NOVA students.

The Campus Events Specialist (CES) serves as the campus administrator responsible for all campus student events. Develops, plans and implements events and activities on behalf of the Annandale Student Life Office.

The Campus Events Specialist assists with the development and revision of college-wide Student Life policy manuals. The Campus Events Specialist is responsible for event creation, coordination, and evaluation and purchasing for events.

The CES makes referrals to campus and community resources as necessary. The CES works with the Student Life manager (director) to plan, implement and evaluate major campus and college-wide educational, social, and cultural events.

Duties and Responsibilities

The Student Life Events Specialist will assist with the planning, implementation and assessment of Student Life events. Specific events include but are not limited to: Hispanic Heritage Month, Native American Heritage Month, Black History Month, Women’s History Month, International Week, NOVA Day, Spring Fling, and Finals Prep Week. Properly execute purchases and generate contracts adhering to NOVA, VCCS and Commonwealth of Virginia policies procedures and laws. Work with vendors as needed to be compliant with rules and regulations and secure the best price for services. Develop creative marketing and promotional materials for Student Life events. Work a flexible schedule including mornings, nights, and weekends as needed to support Student Life initiatives. Assist Student Services staff as needed.
The CES makes referrals to campus and community resources as necessary.
The CES works with the manager to plan, implement and evaluate major student life campus and college-wide educational, social, and cultural events.

Submits and tracks department purchases through eVA electronic procurement system.
Process purchase requisitions, reimbursements, PCard reconciliations, and all other purchasing-related procedures for student organizations and the office.
Handles monthly reconciliation of department accounts. Interacts with, and negotiates with, vendors who provide products and services for the office and student organizations.

Other duties as assigned.

Minimum Qualifications

Associate’s degree or equivalent combination of education and related experience. Experience with event planning.

Preferred Qualifications

Bachelor’s degree. Experience working with college students in a co-curricular environment. Budget management experience. Experience advising college student leaders. Purchasing experience, preferably Commonwealth of Virginia purchasing experience using eVA. Event planning experience in an educational setting.

Ability to advise students on program development and management, purchasing, college policies and procedures, and regulations related to student life programming.
Ability to supervise and work with students and faculty advisors in campus organizations.
Ability to effectively hire, train, supervise and evaluate student hires.
Ability to work effectively with a highly diverse student population. Ability to work in a fast-paced environment with a diverse student population.
Ability to manage multiple tasks in a timely manner.
Strong interpersonal, communication, and organizational skills.
Ability to work nights and weekends.
Ability to coordinate and facilitate collaborations with student groups, academic departments, administrative departments, and the community.
