Position Summary:

The Program Coordinator works with the director, faculty, and partners of Environmental Studies to help plan, promote, and implement curricular and co-curricular programming. Organizes events and program calendar, manages communications, coordinates internship opportunities, and serves as liaison to on- and off-campus partners.

STATUS: Full-Time, 12 Month, With Benefits
WORK HOURS: 8:30-4:30 Monday-Friday with occasional evening and weekend hours
FLSA: Exempt
MINIMUM PAY: $46,781 / annual

Essential and Related Functions:

Experiential and Service Learning Coordinator

  • Collaborates with W&L and community partners to identify and support service-learning opportunities and potential community-based capstone projects.

Curricular Planning Assistance

  • Tracks and projects course offerings across all supporting departments.
  • Identifies new course opportunities from supporting departments as they emerge.
  • Assists with assessing course offerings across supporting departments and compiling a list of relevant courses at least one week prior to student registration.
  • Maintains long-term planning course resources for student advising.
  • Coordinates curriculum-related events that fall outside of course hours (e.g. capstone course poster presentations).

Organize speakers, co-curricular events, meetings

  • Carries out contract negotiations with all external speakers.
  • Works with faculty to arrange speakers that tie into courses.
  • Sets the event calendar for the academic year; convenes meetings as needed with both on-campus and off-campus partners.
  • Coordination of all program meetings (faculty meetings, committee meetings, etc.).
  • Coordinates program outreach efforts (first year orientation, family weekend, alumni weekend, etc.).
  • Works with Office of Career Services to develop and maintain career planning and development opportunities for students (e.g.annual alumni career panel, alumni networking events).
  • Communicates with campus and student organizations to help support environment-related programming (e.g. SEAL events, Outing Club, etc.).

Internships/Student Research Grants/Advising

  • Maintains and enhances the ENVS internship and summer research grants program.
  • Maintains partnerships for ongoing internship opportunities.
  • Advertises opportunities, meet with and advise students on application process.
  • Manages application process.
  • Coordinates review of student funding applications.
  • Oversees disbursement of funds and ensure student completion of required documents.

Communications

  • Works with the ENVS program director and other faculty and staff to develop and maintain the ENVS program communications plan.
  • Ensures information on website, brochure, and program documents is up to date.
  • Implements communications directly or with other faculty and staff using email, program website, social media, and other platforms as appropriate.
  • Writes and distributes biweekly program newsletter to faculty, staff, students, and community of the program.
  • Organizes and assists with compiling the annual program newsletter to alumni.
  • Maintains regular communications to our majors and minors about events, internship and career opportunities, upcoming deadlines, news, and other information as appropriate.

Oversees administrative functions for the Program Director and Faculty with ENVS Appointments

  • Travel support.
  • Accounting: Travel reimbursements & Credit card coding.
  • Coordination and support for international visitors.

Budgets, operations, and reporting

  • Processes disbursements, invoices, and other financial paperwork as needed.
  • Assists with ordering of course or research supplies (particularly large purchases).
  • Oversees budgets relating to programming, internship and research stipends, and conference and travel funds for students.
  • Works with the ENVS program director and administrative assistant to maintain relevant program data.
  • Oversees the ENVS program’s student workers (work study).
  • Works closely with the director of the ENVS program, faculty, and other staff to coordinate and support the program in other ways as needed, including occasional weeknights and weekends for special events.

Qualifications:

Minimum Qualifications:
Bachelor’s degree or the equivalent in education and experience; graduate degree in field related to environmental studies
preferred. Strong communication and organizational skills. Ability to work independently, problem solve, and think creatively.
Talent for successful event planning and ability to multitask. An interest in mentoring students and contributing to their academic
and professional development to become future leaders in environmental fields. Ability to engage and work effectively with a
diverse range of constituents and community members. Confident computer skills including essential productivity software (e.g. MS
Office). At least two years of relevant work experience in environmental field, higher education, or event management preferred.

Physical Requirements:

  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.
  • Grasping: Applying pressure to an object with the fingers and palm.
  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.

Working Conditions:

  • The worker is not substantially exposed to adverse environmental conditions (as in typical office or administrative work).

Types of Work:

  • Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift,carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
