Operations Assistant - School of Continuing Studies (SCS)
The Operations Assistant, SCS, provides critical customer service as well as support for facilities management, security and guest services coordination at the reception desk of School of Continuing Studies (SCS) downtown DC Campus during the weekday and Saturday shifts. The position provides daily reception duties and requires excellent customer service skills to be provided to staff, students, faculty and visitors at SCS during the high volume weekday and Saturday shifts. The incumbent will greet and check in visitors, provide direction and answer questions regarding SCS operations and class schedules, as well as work closely with security and provide operational support to the Senior Director of Operations as needed.

The position requires intimate knowledge of SCS programs, daily operations and security protocols, and will serve as liaison to staff, students, faculty and visitors at SCS. This position supports SCS's goal of high stakeholder satisfaction, increasing tuition revenues and customer satisfaction. The Operations Assistant supports the Operations Team on all aspects of successful school-wide operations, focused specifically on making sure customer service and security is provided at the highest level during the high volume weekday and Saturday shifts. The hours for this position are Monday through Friday 8:00 am - 2:00 pm and Saturday 8:00 am - 6:00 pm. Duties include but are not limited to:

Front Desk Reception
  • Provide high level customer service to all SCS stakeholders during the shift Monday-Friday 8am-2pm and Saturday 8am-6pm.
  • Coordinate closely with security staff on security issues and emergency preparedness.
  • Ensure students, faculty and staff are adhering to the GoCard access policies.
  • Provide emergency response efforts with SCS security staff and building security staff.
  • Direct visitors as needed for meetings with SCS staff.

Administrative Support
  • Provides administrative support to the Director of Operations during shift.
  • Provide administrative support of Operations Team and school-wide operations and logistics during the weekday/weekend shift.
  • Support office supply organization, mail distribution and complete administrative tasks.
  • Provide support of SCS events as needed.
  • Provide support of preparatory work for the following Monday and clean up after Saturday classes as needed.

Report issues
  • Troubleshoot any problems that arise with Director of Operations and security team.
  • Log all issues during weekday shift and communicate any urgent issues to Operations Team and Director of Operations.
  • Provide daily report on all issues during weekday/weekend shift and provide adequate and appropriate follow up.

Qualifications
  • Bachelor's Degree
  • At least 2 years of administrative experience preferred - higher education experience a plus
  • Strong organizational and communications skills - both written and verbal
  • Ability to successfully prioritize and manage multiple projects to deadlines
  • Ability to effectively work in a dynamic and fast-paced environment
  • Collaborative approach and a team orientation
  • Positive attitude and creative thinking
  • Strong customer service experience
