Job Description:

REPORTING RELATIONSHIPS
Reports To: Dean of the School of Education and Director of Teachers for Tomorrows Schools

POSITION DESCRIPTION
The Academic Coordinator of Teacher Education, School of Education Credential Analyst, & Coordinator of Early Childhood Education Programs oversees the administrative and operational components of this program which includes approximately 60 credential students and 20 Masters students each year. The Coordinator works closely with all faculty to insure that the program runs smoothly, insures that the program is in compliance with state regulations, is in close contact with school-based and college-based mentors or student teacher supervisors, and oversees the admissions process for this program.

This relatively large program is central to the mission of the School of Education and the College and to the strategic goal of deepening our relationship with Oakland and the nearby communities.

Academic Coordinator of Teacher Education Representative Duties:

  • Placement of student teachers in schools- including communication with principals, teachers, students, faculty and supervisors and location of new placements.
  • Events for the Teachers for Tomorrows Schools (TTS) including undergraduate and graduate teacher preparation programs and Master of Education with an Emphasis on Teaching (MEET). Examples of events are: student and faculty retreats, admissions events, orientation and commencement events, Masters proposal hearings and other School of Education events related to teacher preparation.
  • Admissions interviews with faculty and facilitates admissions process for credential and MEET students.
  • Liaison between Mills and the California Commission for Teacher Credentialing. Will submit all credential requests and prepare yearly, biannual and less frequent program reports as required.
  • Files all state required credential related documents and reports. Collects data. Keeps abreast of changing regulations, standards, requirements, credential matters and rewriting or updating program documents
  • Supports TTS faculty, students, supervisors and Cooperating Teachers.
  • Ongoing maintenance of a data base of students and follow up surveys of graduating students
  • Update programs web pages and create yearly handbooks
  • Respond to student inquiries
  • Establish and maintain effective and productive working relationships, while working in a diverse and multicultural environment.

    Credential Analyst Representative Duties:

  • Regularly attend meetings and trainings with the State and College to remain current on requirements to ensure compliance with the latest California program regulations, including updating program documents and attendance at training sessions for credential analysts. Responsibilities include updating program documents, consulting on curricula, and programmatic and policy compliance.
  • Performs credential analyst duties (analyzing student transcripts and keeping student records of credential submission to the State) and is responsible for Mills compliance with California Commission on Teacher Credentialing regulations and laws. Has campus authority to recommend final administrative and teacher certification to the State of Californias Teacher Credential Commission.
  • Oversees credential advising in the School of Education (for ASC and ECSE) and the implementation of processes and procedures for recommending CA certification for student candidate.

  • Duties include academic evaluation and transcript analysis, admissions, academic counseling, tracking and completing the State credential application process, maintaining credential documentation files, interacting with other college and universities, school districts, and State agencies related to teacher credentialing in California.

  • Guides Education Specialist and Administrative credential advisors and their advisees through the State credentialing process, including child development permits, fingerprinting, required testing; and acting as a liaison for students and their employing agencies during the credential process.

    Additional Duties and Responsibilities:

  • Creates agendas for, takes notes and runs program meetings for program planning and direction setting.
  • Tracks alumnae.
  • Manages various databases.
  • Manages budget for TTS.
  • Oversees TaskStream operations including PACT, program assessment, and student teacher field evaluations. Works closely with students, faculty and supervisors on this.
  • Maintain safe work conditions and comply with established safety policies, practices, procedures, and requirements.
  • Perform related duties as needed.

    Coordination of Early Childhood Programs
    This position provides administrative support to the Early Childhood Education Program, including the undergraduate child development major, the Masters Degree in Early Childhood Education and the ECE degree with an emphasis on Early Childhood Special Education and Child Life in Hospital.

    Coordination of the Early Childhood Program and the Infant Mental Health Program duties include:

  • Record keeping, managing student files, and maintaining current student contact information through the ongoing maintenance of a student database
  • Coordinates, in conjunction with program faculty and director of admissions, all phases of recruitment and financial aid for the Early Childhood Development Masters program, Early Childhood Special Education Credential, Child Life in Hospital, and Infant Mental Health Masters program
  • Assists in the coordination of school and hospital field placements
  • Creates and maintains contracts with placement agencies and schools
  • Coordinates with Mills College Childrens Schools student teacher supervisor regarding ECE and IMH students working in the school
  • Coordinates with M Center Banner tracking of all ECE, and IMH students through graduation
  • Supervises student workers supporting the program work
  • Other duties as assigned
  • Oversees the program budgets for the Early Childhood program. Involvement in admissions and tracking of current students.
  • Supports the work of the program director in preparing documents and data for program reviews and yearly assessments
  • Researches, gathers, organizes, edits, and summarizes data and information for reports. Analyzes data for trends or conclusions and presents results and recommendations to supervisor. Develops, maintains, and updates record tracking systems; provides statistics and reports as necessary

    Other duties include:

  • Other special projects for the Dean, as assigned

    Requirements:

  • Expertise in database management and word processing is required.
  • Experience in teaching, teacher education, and educational administration is highly desirable.
  • Knowledge of TaskStream and of California credentialing requirements is preferred

    Skills/Abilities:

  • Interpersonal skills using tact, patience, and courtesy.
  • Oral, written, and organizational skills.
  • Communicate effectively in writing and orally.
  • Ability to maintain a high level of accuracy and confidentiality concerning employee files.
  • Time management skills and the ability to handle multiple projects requiring independent execution.
  • Understand and carry out oral and written directions; work under pressure and deadlines.

    Experience/Education Required:

  • B.A., M.A. preferred.

    Additional Information:

    This is a full-time, exempt position with an FTE of 1.0. Salary is commensurate with experience and includes an excellent benefits package including medical/dental/vision/life/LTD insurance, 403(b) retirement plan with college-matching after 6 month qualifying period, 10 days of vacation for year one, 15 days of vacation for years 2-10, and 22 days of vacation years 10+ plus, 12 sick days and 17 paid holidays (subject to annual review).
