Preferred Qualifications Position Summary

To serve as Grants Coordinator at the College of Environment and Design.

Knowledge, Skills, Abilities and/or Competencies

Graduation from an accredited college or university and one to two years of direct experience in the area of research support assisting PIs with pre-award proposal development and administrative post-award management; an equivalent combination of education and experience.

Familiarity with grant related terminology and procedures, both pre- award and post-award grant processes. Proficient with Microsoft Office. Familiar with the UGA Sponsored Projects Administration and its portal system.
Bachelors degree preferred; Minimum 1-2 years grant experience.

Sitting and/or standing for extended periods of time.
Primarily seated at computer for majority of time.

Pre-Award: This position manages all aspects of pre-award stages of grant and/or research/project MOU funding, including but not limited to: serve as liaison between SPA,CED PIs, and college administrators regarding research administration questions; assist CED faculty with their proposal development and submission; read RFPs to interpret agency philosophy, policies, regulations and guidelines and/or interpret, clarify, and document diverse agency requirements, procedures and policies; provide direct support in crafting accurate budgets and budget justifications, cost share budget development including compliance with UGA and federal policies for salary, fringe benefit rates, indirect costs, travel, and all other budget components including subcontractor’s adherence to internal legal considerations and ensure timely funding and continuation accounts by assisting PIs in filling out and submitting Pre-Award and Pending documents to SPA; provide formats for various proposal components; ensure compliance with agency guidelines and all applicable federal, state, and university regulations, such as animal and human subject use, debarment and suspension, drug-free workplace, etc. in proposal content; work with SPA for final submission of grant; verify that proposals have been received and that appropriate follow-up has occurred; work with SPA and faculty to negotiate and authorize agreements on behalf of UGA or its research foundation although on some issues it may defer to Legal Affairs.

Post-Award: This position manages all aspects of post-award grant and/or research/project MOU funding including but not limited to: review terms and conditions of awards; review awarded budgets and assist in development of re-budgeting as requested by sponsors; assist with No-Cost Extension requests guiding PIs as they provide justifications for NCEs, budgets, a summary of current expenses, and any other documents required by sponsor for NCEs; assist in gathering information for post award reporting for final, quarterly, and other reports required by the sponsor; coordinate with senior accountant on payroll for faculty/staff paid from grants; process all reimbursements and external vendor payments for all grants; perform other functions such as periodic review of accounts, processing of budget amendments and journal vouchers, handle rejected purchase and check requests, work closed/over drafted accounts, initiate journal vouchers and/or budget amendments to adjust indirect costs to current expenditures, and such other functions as necessary in a timely, accurate and professional manner; monitor and manage accounts payable and accounts receivable for each grant; provide monthly budget status reports to all PIs.

This position will develop a model CED Grants/MOU Development and Submission Process (Pre-award and Post-award tasks with associated timelines, etc.) that may include but not be limited to: develop typical timeline for grant/MOU development and submission; develop CED guidance and policies related to grant/MOU development and submission model; develop CED version of SPA budget worksheet; guide and train faculty regarding the CED model process; investigate and identify prospective discipline-appropriate research funding sources with their eligibility criteria, deadlines, etc.
