The Department of Medicine's Division of General, Geriatric, Palliative and Hospital Medicine is seeking candidates for the position of Senior Administrative Assistant.

This position will provide a high level of advanced administrative support to the Section Head and faculty in their respective section.

This position is responsible for scheduling conference calls and meetings, maintaining Outlook calendars, pre and post travel coordination, maintenance of up-to-date licensures, and curricula vitae, special projects, and assisting the Division's Office Coordinator with recruitment.

Qualified applicants must have a High School Diploma or equivalent and a minimum of four years of administrative support experience. Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook) is required.

Experience with Epic, and Qgenda or other physician scheduling software is also preferred.

  • Provide advanced, administrative coordination to support office operations and special projects.
  • Arrange business travel, coordinate meetings, and support agenda management and expense tracking.
  • Compile data for preparation and editing for senior leaders.
  • Review and answer correspondence, screen callers and visitors, and handle confidential matters.
  • Manage electronic files and produce reports.
  • Organize meetings and materials for special events.
  • Assist the Office Coordinator with recruitment and faculty annual reviews.
  • Prepare recruitment candidate itineraries, coordinate travel arrangements, and facilitate the submission of expense reimbursements.
  • Maintain all career-related documents for assigned faculty to include presentations, licensures, certifications.
  • Facilitate properly formatted and up to date curriculum vitae for assigned faculty.
  • Facilitate communication of monthly call schedules and associated day-to-day changes to faculty and Medical Center Call Operator.
  • In addition to the above job responsibilities, other duties may be assigned.

MINIMUM REQUIREMENTS

Education: High School diploma. Bachelor's may substitute experience.

Experience: Four years of relevant experience. Bachelor's degree may substitute for years of experience.

Licensure: None

PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require walking some distance to attend meetings, and programs.
