Job Summary:

The Environmental Health & Safety (EHS) Assistant will be responsible for managing the daily administrative, operational, and security functions of the Howard Taylor Ricketts Laboratory (HTRL) at Argonne.  The EHS Assistant will serve as the main security officer for the Howard T. Ricketts Laboratory. The EHS Assistant will operate the security system at the HTRL and assist with implementation of security operating procedures relating to building security and visitor access. Serve as initial point of contact for the HTRL.  Assist in obtaining visitor passes for Department of Microbiology/HTRL guests. The EHS Assistant will interface with Argonne National Laboratory (ANL) organizations, as necessary, to implement security procedures. The EHS Assistant will serve as the HTRL Emergency Supervisor. This position will be responsible for assessing and managing the equipment needs; identifying and forecasting areas needing improvement and initiate solutions; providing front-line support (the "go to" person), serving the various needs of many individuals and ensuring the overall operational functions of the administrative office run smoothly. Provide administrative support to the Director of the HTRL and the Associate Dean for Biosafety.

Responsibilities:

  • Execute basic security functions in support of the HTRL and implement associated standard operating procedures.
  • Functions include operation of building security system, coordinate visitor access to Argonne site and HTRL (including visitor's log),  opening/closing HTRL security post, responding to security system alarms, and coordinating building activities with Argonne Protective Force personnel. Operating systems include: access control system, CCTV surveillance system, intercom system operation, and public address system operation.
  • Individuals also has inventory responsibilities for non-select agent material and asset tagging/asset security.
  • Provide administrative support to the Director of the HTRL and Associate Dean for Biosafety. This includes but is not limited to exercising independent judgment on scheduling, organizing and implementing the daily, weekly, quarterly, and yearly activities.
  • Manage ANL badging program for HTRL employees; ensuring they receive Site Occupant Badges when hired or starting work at the HTRL and return them after employment at the HTRL is finished.
  • Serve as the HTRL Emergency Supervisor. Duties include serving as first point of contact for emergency situations at the HTRL or ANL that are not of a Select Agent concern.
  • Back up and assist the Biosafety group in any Select Agent specific emergencies.
  • Must be available to respond to emergencies during non-business hours. Liasion with ANL's Office of Emergency Management as the Area Emergency Supervisor for the HTRL.
  • Plan and run emergency drills that can include, but are not limited to: medical emergency drills; ANL Protective Force drills; fire drills; and tornado drills.
  • Update and train new and current employees on the Select Agent Incident Response Plan.
  • Identify, develop and implement systems to organize, integrate, and maximize the work flow among the administrative functions.
  • Answer main department telephone lines and route calls, assist visitors, receive packages/boxes, sort and distribute mail, and compose correspondence as requested.
  • Respond to problems/complaints in a timely manner making independent decisions on resolution.
  • Maintain directories, mailing lists, and electronic and paper filing systems.
  • Order and maintain office supplies for the department. Ensure the HTRL has University IT support and assist employees in requesting computer, printer and networking support.
  • Provide materials management services at the HTRL. Functional components include operating and maintaining the loading dock, material receipt/delivery, research animal receipt/delivery, mail receipt/distribution and coordination of outgoing materials (including waste) and mail.
  • Ensure loading dock is clean and functional.
  • Financial support for Executive Director of Facilities Operations, HTRL Director and Associate Dean for Biosafety.
  • Supervise procurement and accounting activities; process reimbursements, purchase orders, interdepartmental forms, and expenditure transfer forms.
  • Assist in implementation of procurement and accounting activities associated with operations and maintenance firm contracted to support the HTRL.

  • Ability to take initiative, meet deadlines, and work under pressure required.

Additional Requirements

Education, Experience, and Certifications:

Education:

  • Bachelor's degree required
  • Bachelor's degree in business preferred

Certifications:

  • The individual must be able to pass the University's security risk assessment program associated with access to select agents

Experience:

  • Knowledge of word processing, spreadsheet, and data base software is required.
  • Knowledge of computerized purchasing and accounting programs preferred.
