About the UnitThe Office of Civic Engagement (OCE) is responsible for a diverse portfolio of programs and initiatives related to community relations, civic and City/State/Federal government relations, economic development, and educational outreach programs, while supporting faculty and local community-based research projects and initiatives. The office works closely with internal and external stakeholders on a range of quality of life initiatives, including public education, community development, workforce development, arts and culture, public safety, employer-assisted housing, and civic partnerships.

Job Summary

Each Assistant Director (AD) is in a pool and works with multiple Directors and OCE leadership on a multitude of projects. ADs are generalists who support a variety of different OCE initiatives (including college readiness, nonprofit capacity building, civic leadership, and student civic engagement) and core administrative functions of the office (e.g., fund development, strategy, evaluation, and planning) giving them exposure to a breadth of projects, partners, and audiences. Major responsibilities will include providing program event support, drafting various memos and reports; researching and analyzing civic engagement issues; tracking program data and providing data analysis; coordinating projects across the civic engagement portfolio with other individuals; and serving as a contact for internal and external audiences.

This position reports to the Director of Strategy and Academic Partnerships, who oversees the Assistant/Associate Director pool.


  • Ability to work effectively across the University – including students, faculty, and staff – and with the broader community, including community and civic organizations to creating meaningful and sustainable partnerships.
  • Assist in scoping and executing special projects for OCE-related initiatives including organizing and coordinating programmatic events and activities, creating agendas, gathering data and preparing documents and materials for presentations, documenting discussions, and following-up on action items.
  • Assist in the development of new programs and large-scale projects that bring together faculty, staff, and student resources to improve the quality of life on the South Side and across the city.
  • Build relationships between the OCE and various external agencies, organizations, and institutions with whom the Office may collaborate.
  • Represent the team in key internal and external meetings.
  • Support various OCE workshops and events, including engagement and communication with OCE program participants
  • Collect and analyze data from various sources and present high-quality analysis to support decision-making and presentations.
  • Support program monitoring and data tracking, as well as related database support and support for application processes
  • Ability to work under pressure and take on new assignments.
  • Ability to work independently, with a high degree of initiative; ability to meet deadlines; maintain confidentiality, and problem solve.
  • Effective organizational and time management skills with a high degree of attention to detail.
  • Energy, creativity, and enthusiasm.
  • Occasional evenings and weekends required.  


  • Demonstrated experience in project planning and execution
  • Strong interpersonal skills, including excellent verbal and written communication skills
  • Self-motivated and able to work independently
  • Ability to conduct high quality research
  • Ability to manage and complete multiple tasks and priorities simultaneously
  • Grant writing and authoring fundraising materials experience
  • Advanced proficiency in Microsoft Office Suite, (Excel, Word, and PowerPoint)
  • Proficient in use of social media

Additional Requirements

Education, Experience, or Certifications:


  • Bachelor's degree required


  • Minimum two years of relevant experience required.
