Assistant Director, Mortara Center for International Studies - School of Foreign Service (SFS)

The School of Foreign (SFS) was founded in 1919 as a direct response to the involvement of the United States in the First World War. The establishment of a program at Georgetown dedicated to educating students on global issues and preparing them for lives of service in the international arena reflected both the University's Jesuit heritage, with its emphasis on intercultural understanding, and its origins as an institution of the American Enlightenment, dedicated to the rights of man and the education of citizens.

The Assistant Director manages administrative operations, events, and communications for the Mortara Center for International Studies, and provides academic support to Mortara faculty. Duties include but are not limited to:

Events Management
  • Manage Mortara events, including, but not limited to, conferences, lectures, VIP visits, book talks, recognition ceremonies, receptions, lunches, etc.

Communications and Outreach
  • Create, maintain, and promote content on the Mortara website and update social media on a daily basis, working closely with SFS Communications on technical issues.
  • Assist the Director with building a content marketing strategy.
  • Prepare and publish various promotional materials, newsletters, and annual reports.
  • Work closely with the SFS Communications team on visual identity, branding, and events that will generate media coverage.
  • Collect data on Mortara activities across different units at Georgetown University for reporting purposes and in preparation for grant opportunities.
  • Work closely with the Director and the SFS Director of Alumni Engagement on alumni initiatives.
  • Manage communications with Mortara board members and serve as primary board contact for administrative matters.

Program Administration
  • Serve as Requisitioner, Expense Preparer, Departmental Administrator, and Financial Reporter in GMS.
  • Work with the SFS BSC to ensure processing of Mortara financial transactions, including requisitions, contracts, reimbursements, ProCard reconciliation, and related payments and transactions.
  • Working with SFS Assistant Director of Faculty Affairs, prepare supporting documentation for all Mortara academic appointments for adjuncts, visiting, and regular faculty.
  • Work with the SFS HR team to ensure that recruiting, hiring, training, termination, and payment practices are carried out in accordance with promulgated HR policies and procedures.
  • Oversee maintenance of Mortara Building offices, program space, and equipment. Maintain supply inventories. Coordinate with the SFS Dean's Office regarding capital needs/projects and all requisitions. Coordinate with the Center for Security Studies on needs for their space in the building.
  • Manage Mortara conference room and reservation policies.
  • Manage student employees.
  • Assist the Director in fundraising activities and program representation.
  • Serve as the Departmental Technology Representative. Recommend changes to departmental technology and inform staff and faculty about issues as appropriate.
  • Provide administrative support to the Director as needed.

Faculty and Academic Support
  • Serve as point of contact for faculty on office space, technology, and classroom needs.
  • Process book orders, library reserves, and related items for faculty.
  • Work with Mortara Director, faculty, and the Registrar's office to manage course scheduling each semester and to reduce scheduling conflicts.
  • Advertise courses and assist faculty as requested with course preparation and research.

  • Bachelor's degree in relevant field
  • At least 2 years of closely related professional experience in program administration and event planning, preferably in higher education
  • Excellent interpersonal and written communication skills and a commitment to outstanding customer service
  • Ability to develop proficiency in the Workday Financials system
