General Overview: 

The Director, IBIS Program, reports to the Executive Director of Family Relations and is responsible for the implementation and management of a comprehensive program (IBIS Program) that offers prospective legacy and non-legacy students a concierge, college counseling opportunity regarding the admission process at the University of Miami.

The Director serves as the principal point of contact for prospective legacy and non-legacy students and their families in the admission process. The University of Miami Legacy Program recognizes the commitment of its alumni who support and encourage their children and/or grandchildren to consider UM for college. The Director also works and coordinates closely with the Office of Undergraduate Admission, Parent Relations, Alumni Relations, Student Affairs, Schools and Colleges, and other campus partners.

The goal of the IBIS Program is to develop and maintain positive relationships as prospective legacy and non-legacy students and families are considering UM for the student's college education.

This position requires excellent communication, leadership, motivational skills, and requires the ability to interact effectively with internal and external constituents in a sensitive and effective way. Strong planning, coordination, and execution skills are necessary to manage the implementation and oversight of the IBIS Program.

Primary Duties and Responsibilities:

  • Work with the Executive Director of Family Relations in setting objectives, guidelines, and procedures for the IBIS Program, with respect to programming, referrals, data entry, reporting, public relations, budget, and other related matters.
  • Serve as the primary contact for colleagues, alumni, donors, current parents, and other University of Miami community members who refer undergraduate and graduate applicants.
  • Responsible for the engagement of legacy family members including legacy parents, legacy grandparents, legacy students, and legacy applicants (both undergraduate and graduate).
  • Build a network of individuals in key departments throughout the University who can address prospective student questions and concerns. Key departments: Academic areas, Office of Undergraduate Admission, Student Affairs, Student Financial Assistance, Student Accounts, Housing & Residential Life, Academic Resource Center, etc.
  • Coordinate campus tours for prospective students, families, and guests of the University.
  • Maintain records of IBIS Program participants throughout their student career at the University in order to evaluate the effectiveness of the IBIS program.
  • Manage suites for Commencement.
  • In collaboration with the Division of Development and Alumni Relations, obtain data that effectively serves the needs of the department.
  • Assist the Office of Undergraduate Admission in securing families to host Admitted Student Receptions in cities throughout the country.
  • Plan and execute receptions and events throughout the fiscal year including, but not limited to: Summer Send-Offs; Parents Receptions; and New Parent Breakfasts.
  • Maintain updates and relationships in the database Raiser’s Edge.

    Essential Legacy Responsibilities:

  • Track all legacy applications each academic year at the undergraduate and graduate level
  • Coordinate a fall legacy admission information session on campus
  • Coordinate/plan several legacy engagement receptions throughout the fiscal year including: legacy welcome breakfasts held in conjunction with Future ’Cane Days, fall legacy reception, and a graduating legacy ceremony
  • Coordinate move-in with the Department of Housing
  • Manage the Legacy Scholarship including marketing of the award and stewardship of donors to the fund, and engagement of student recipients
  • Conduct yearly annual giving appeals for the Legacy Scholarship using direct mail, phone, and email
  • Maintenance and coding of all legacy relationships in the University’s mainframe database Raiser’s Edge in partnership with the Office of Admission

Qualifications:

Bachelor’s degree required with a minimum of three years’ experience in a business office environment with some fundraising experience. Preference given to individuals with a University of Miami degree for purposes of being able to provide the best service to prospective students. Equivalent combinations of experience/education may be considered. Excellent social and customer service skills, and initiative mixed with sound judgment; good communication skills and an excellent command of the English language, both verbal and written, are required. Ability to manage events and projects from start to finish, managing time and task effectively. Ability to manage a heavy workload and at times conflicting priorities as well as tracking progress on a wide range of tasks. Must be flexible, dedicated, hardworking, and show strong organizational skills and a willingness to work in a team driven environment and ensure quality output/customer satisfaction.  Must have an excellent command of all Microsoft Office Applications, including Word, Excel, PowerPoint, and Access. Must be able to work overtime (including nights and weekends), when necessary.
