Job description

Serves as a member of the leadership team in the Office of the University Registrar.  Directly responsible for managing and enhancing all processes within the Office of the University Registrar relating to graduation and degree audit processes.  Responsible for monitoring and maintaining database (Banner and degree audit) applications pertaining to student and curricular records. This professional registrar position is responsible for ensuring accuracy of student, advisor, and curriculum records

Duties/Physical Demands:

Directs workflow and assigns tasks to Office of the University Registrar support staff.Manage graduate degree audits and encode all graduate level program degree audits for all campuses.

Assist with graduate level degree clearance.

Coordinate with other managers the end of term processing to award degrees for all campuses.

Manage processing of graduate level certificates leading to the award of master and doctoral level degree award.

Manage processing of Results of Comprehensive Examination for doctoral students.

Serve as liaison to the Graduate School regarding exceptions, degree posting, and major changes.

Manage all aspects of diploma procurement and release/mailing, including re-issuance.

Coordinate and maintain the degree clearance and Commencement calendars including internal office process calendars and calendars across the University.

Manage reporting (ceremony attendance numbers, trouble degree audits to academic divisions) and communication (warning/delete letters, hold notifications) processes pertaining to Commencement, including Commencement program generation and proofing. 

Develop and maintain Commencement web page, including ongoing systematic review, evaluation, and updating of the Commencement web page, and updating student communications, direct chat with Registrar staff and Facebook.

Manage Registrar presence at GradFest and University Commencement meetings.

Provide primary support at commencement ceremonies to faculty, administrators, students and families.

Manage the on-line graduation application and associated processes.

Manage clearance of thematic sequence requirements through MPP comments and other means.

Oversee, train staff and troubleshoot issues in Change of Program Staff Application.

Oversee and troubleshoot issues with the Advisor Assignment Application?


Minimum Qualifications:

Bachelors degree plus two years of experience, or equivalent combination of education and experience, with increasing responsibilities.  Must possess strong analytical, problem-solving, and communication skills congruent with collaborative management style. Experience in a Registrar’s Office or academic division/departmental office including functions and practices.  Experience working within a team environment. Experience with staff training and supervision
