Kenyon College is conducting a search for a qualified candidate to fill the position of Administrative Assistant to the Associate Dean of Students/Director of Diversity, Equity and Inclusion and Director of Student Rights and Responsibilities. Reporting to the Associate Dean of Students/Director of Diversity, Equity, and Inclusion (ODEI) and to the Director of Student Rights and Responsibilities (DSRR), the Administrative Assistant provides essential support for the effective and efficient functioning of the ODEI and DSRR. The Administrative Assistant has primary responsibility for coordinating the calendars, budget tracking, purchasing reconciliation, administering meeting and event logistics, and maintaining essential record-keeping for ODEI and DSRR. The Administrative Assistant also supports the work of the ODEI Team. This is a full-time, 11 month position with one month off July 1 to July 31. The hourly rate of pay is $16.21.

Essential Functions

    Manage calendar for Associate Dean of Students/Director of ODEI, including scheduling individual appointments, group meetings and conference calls.Manage ODEI and SRR budgets, including reconciliation of P-Card statements, and submitting check requests and payment orders.
  • Assist with event planning for the Kenyon Educational Enrichment Program (KEEP), Recognizing Each Other’s Ability to Conquer the Hill mentoring program, Alumni of Color Mentoring Program, Snowden Multicultural Center, Unity House, Crozier Center for Women, cultural student organizations, and other ODEI events.
  • Coordinate with the Special Events Coordinator to execute event planning and logistics, to include reserving rooms and accommodations, coordinating travel, submitting maintenance requests, and ordering food.
  • Support the Faculty Director of KEEP with summer program preparation, including ordering materials and supplies, and coordinating travel logistics and transportation reservations.
  • Manage the software system, including the production of, Kenyon student ID cards (“K-Cards”) for all incoming students, as well as new cards when current students misplace or lose them.
  • Update Excel documents with demographic and transcript information for KEEP, REACH, and First Steps students at the conclusion of each semester.
  • Assist in hiring, training and supervision of student interns, coordinate weekly work schedules, and prepare and approve timesheets for interns and program house managers.
  • Maintain and update the ODEI website, in coordination with ODEI staff and the Office of Communications and other campus offices as needed.
  • Monitor ODEI and Summer Internship Stipend Fund email accounts and distribute inquires to appropriate ODEI team members.
  • Assist the DSRR in administering student disciplinary background checks and completing Dean Certification request.
  • Update student disciplinary standing in Etrieve document software system.
Other Functions

    Take summary minutes for the ODEI team meetings, and other meetings as needed.Answer phone for ODEI and OSRR and direct calls accordingly.
  • Collect receipts for bookstore purchases, and coordinate usage of Walmart and Kroger purchasing cards with student organizations and programming houses.
  • Order office supplies and assist in the maintenance of copiers, printers, and other office equipment.
  • Perform general office duties as needed.
Knowledge Skills & Abilities

  • Demonstrated appreciation for the value of diversity, equity and inclusion, and passion for supporting diverse student populations.
  • Excellent written, oral and listening skills.
  • Meticulously detailed and thorough organizational skills.
  • Demonstrate familiarity and efficiency with various Google technologies (email, calendar, docs, and forms), Microsoft Office software, other institutional electronic file software (Banner, Advocate and Campus Reports).
  • Demonstrate excellent judgment and discretion with confidential student information.
  • Be able to anticipate and forecast the needs of the ODEI and OSRR, and serve as a gatekeeper when necessary.
  • Manage multiple projects simultaneously, prioritizing time sensitive assignments.
Working Conditions

Work is generally performed in the office environment from 8:30 am to 4:30 pm. The ability to navigate campus, and lift items weighing 30 pounds or less is necessary to perform the functions of this job.

Minimum Qualifications

Two year college degree preferred. Five years of experience as an administrative assistant. Demonstrated appreciation for the value of diversity, equity and inclusion, and passion for supporting diverse student populations. Experience in managing calendars, maintaining budgets and event planning. Ability to work collaboratively in a highly collegial environment. Previous experience with Kenyon or college-aged students is desirable.

What's the area like?

Kenyon and the surrounding area are often remarked upon for their beauty. Very near campus is the Brown Family Environmental Center, where nature lovers will often attend free programs and events for kids and adults alike that include night hikes, bird-watching, or native plant and animal exploration. Through it runs the Kokosing Gap Trail, on which casual walkers and sports enthusiasts alike will hike, run, or bike the 14 miles (and growing!) of former rail line. The Rural Life Center explores and promotes the lifestyles present and past in Knox County , in which Kenyon is located. Knox County exemplifies Midwestern openness, and also an increasing diversity typical of the rest of the country.

Mt. Vernon, located 4 miles from Kenyon College, is the seat of Knox County. Mt. Vernon boasts both a public square surrounded by historic buildings, an active theater community, and a commercial district which includes a movie theater, retail stores, and restaurants.

Finally, there is Columbus, a vibrant city with diverse shopping, dining, and cultural opportunities. Its many neighborhoods, including notably the Short North, host a tremendous array of independently owned restaurants, varying from those with a heavy farm-to-fork emphasis to numerous international cuisines brought to the city by its multinational population, and much more. As the capital of Ohio, Columbus is also home to many state government positions
