Position Summary

Middlebury’s Benefits Analyst is responsible for ensuring the accuracy, integrity, timeliness and availability of benefits-related data. S/he will ensure that benefits data is entered/audited in the legacy system, will create benefit reports and analytics, reconcile data with related systems (HR, payroll, vendors, A/P, etc.), process monthly benefits billing, calculate manual benefits payments, etc. S/he will assist in the implementation of the benefits module of the new Oracle HCM system, including data integration, process testing and user acceptance testing. Once the Oracle system is live s/he will assist in ensuring data uploads/downloads and workflows function properly and will provide data analytics, troubleshooting and reporting.

This is a term position.

•Maintains benefits data, including: eligibility and enrollment, dependent, payroll deduction, COBRA, etc. in various systems (legacy, manual and vendor). Ensures data quality by reviewing error reports (missing deduction, etc.) provided by internal systems and/or vendors and then troubleshooting and correcting problems.
•Reconciles monthly insurance invoices and prepares vouchers for payments. Partners with third party administrators, brokers, or internal sources to investigate data or billing discrepancies.
•Performs regular audits of benefits to ensure programs are being administered according to plan guidelines; interacts with benefits carriers and HCM vendor support to ensure all benefit plans are set-up and functioning properly.
•Reconciles HRA and FSA accounts. Ensures benefit deductions post properly. Prepares and analyzes benefit budget data.
•Assists director with annual benefit budgeting.
•Participates in annual compliance work including, nondiscrimination testing and internal and external audits by providing, analyzing and submitting data as directed and within required deadlines. Assists is ensuring plan compliance with plan document and ERISA and IRS regulations.
•Maintains complex reporting required by the Affordable Care Act.
•Assists with annual Open Enrollment activities including pre- and post-open enrollment auditing and system testing.
•Assists in administration of retirement plans by calculating maximum retirement contributions, monitoring and adjusting for highly compensated employees reaching IRS limits, reviewing hours worked reports to identify newly eligible employees, tracking age-related changes, and performing annual break in service analysis for plan level reset.
•Backup to Employee Benefits Specialist in administration of all benefit programs including: medical, dental, vision, disability, life, flexible spending accounts and retirement plans.
•Responds to data requests by generating reports, preparing spreadsheets and graphs. Using reporting tools specific to application (Hyperion for Banner, etc.), design, document, implement and monitor ad hoc and ongoing reports in HR systems.
•Manages technical aspects of benefits web pages including posting documents, creating Go/links, etc.
•Maintains current and historical documentation and records.
•Maintains internal procedures and instructions.
•Assists in the deployment, daily operation, and maintenance of benefits module in Oracle HCM including functional testing along with operational duties.

Qualifications

Education

Associate’s degree in Accounting, Business or related field (or equivalent experience) required.

Knowledge, Skills and Abilities

Demonstrable technology skills including troubleshooting and report-writing, excellent Excel skills (including VLOOKUP, pivot tables and graphing). Demonstrated ability to learn new technologies. Must possess the technical aptitude required to understand flow of data through systems as well as system interactions.

Ability to interpret HCM and payroll systems data and to apply multiple aspects of benefit plan document language including eligibility, enrollment, transactions, plan rules, reporting requirements, audits, etc.
Demonstrated strong analytical and problem solving skills as well as attention to detail. Must have excellent time management, prioritization, and project management skills. Must be able to maintain confidentiality of information.

Experience

Minimum 3 years relevant work experience: benefits, payroll, accounting, or information technology preferred.

Physical Demands

General office environment with long periods of keyboarding, sitting, standing. Able to maintain concentration even with regular interruptions.
