ASSOCIATE DIRECTOR OF RESIDENCE LIFE
HOUSING ADMINISTRATION AND FACILITIES


REPORTS TO: Director of Residence Life

BASIC FUNCTION: Performs work with the Residence Life administrative staff in executing the Residence Life program, including staff and student development functions as well as supervision of residence hall support services. The Associate Director of Residence Life - Housing Administration and Facilities reports to the Director of Residence Life and is an integral part of the Division of Student Affairs. Responsibilities of the position include overseeing the residential facilities that house 1800+ students, and working with the Assistant Director on the day-to-day management of housing operations, assignments, and communications.

QUALIFICATIONS: Master's degree in college student personnel, education, or closely-related field required. At least three years of post-master's professional experience required in residence life and at least five years preferred. Previous experience with occupancy management and housing administration. Valid driver's license and good driving record required. Experience with word processing and spreadsheet software, familiarity with student data base design, report writing and trends in software and hardware development; experience with StarRez preferred. Ability to work effectively with diverse groups of students, faculty, and staff. Ability to comply with workplace guidelines and attendance requirements. Successful completion of an employment and/or criminal history background check required. The ideal candidate will possess excellent communication, organizational, problem- solving skills. In addition, the candidate should have strong data analysis and quantitative report writing skills. Must possess an unencumbered driver's license and the ability to successfully pass a criminal background check.

GENERAL RESPONSIBILITIES:
  • Respond to departmental operational needs and manage administrative projects under the supervision of the Director including, but not limited to, housing selection, assignments, billing, report generation, facility management, and furniture inventories.
  • Strategically coordinate most aspects of complex, multi-phased room assignment processes for residential students with the goals of achieving 100% occupancy and a high level of customer satisfaction.
  • Compile, monitor, and maintain departmental data regarding housing assignments and occupancy rates with the STARREZ housing management system and Banner operating system and communicate data as requested.
  • Make recommendations for projecting annual residence hall/apartment revenue and room rates.
  • Maintain accurate records regarding occupancy, room changes, maintenance requests, damage billing, and space management.
  • Work with mathematical concepts; ability to apply concepts (fractions, percentages, ratios, etc.) to practical situations.
  • Define problems, collect data, establish facts, and draw valid conclusions pertaining to housing operations and facilities (i.e. trends in college student housing and higher education, deferred maintenance.)
  • Develop marketing, publications, and presentation materials for the department.
  • Implement the housing selection process for new and continuing students, including meal plan selection.
  • Support enrollment management efforts by collaborating with other university constituents (Admission, Financial Aid, Athletics, CAMP, Global Engagement, Risk Management, Information Technology, Facilities, and various other departments.)
  • Supervise the Assistant Director and oversee the front-end of the office.
  • Manage multiple projects with conflicting deadlines and maintain high level of professional conduct and courtesy in a fast-paced, dynamic environment.
  • Coordinate and develop all opening and closing processes including training, information, and materials.
  • Serve as the departmental liaison to the University Facilities department.
  • Oversee facility development and management in conjunction with the university facilities department.
  • Oversee facility and equipment budget line items and offer budget projections.
  • Oversee furniture purchasing and installation.
  • Coordinate hall and apartment inventory of furniture, equipment, and appliances, and make recommendations for repair or replacement.
  • Assist in department-wide purchasing and managing a deferred maintenance budget.
  • Coordinate residence life efforts in safety and security awareness, energy conservation efforts, and other activities related to sustainability.
  • Coordinate Health & Safety inspections and Fire Drills.
  • Serve as a member of the Residence Life Department Leadership Team.
  • Effectively serve students and families; resolve customer service complaints/issues.
  • Make recommendations for change as needed and appropriate.
  • Uphold and support Residence Life's mission statement.
  • Serve in a rotating administrative staff on-call capacity to direct crisis management.
  • Participate in professional and student staff training.
  • Provide leadership in departmental policy, goal setting, and budgetary needs.
  • Represent the Residence Life department on university committees and in strategic planning processes.
  • Work actively toward accomplishing the University strategic initiatives.
  • Manage department initiatives under the supervision of the Director and support department and divisional goals.
  • Other duties as assigned.

    SCHEDULE: This is an exempt position and your expected work schedule is Monday through Friday. As an exempt employee your schedule may vary based on the number of hours needed to meet the job responsibilities. The individual holding this position may need to be available early morning, evening, and weekends to meet the needs of the department.

    OCCUPATIONAL GROUP: Exempt/Administrative

    SUPERVISION RECEIVED: General supervision is received by the Director of Residence Life.

    SUPERVISION EXERCISED: Functional supervision is provided to assigned exempt and non-exempt personnel and student workers.

    PHYSICAL REQUIREMENTS: Physical strength/endurance to enable him/her to perform/participate in the following activities:
  • Physically able to lift various materials up to 25 pounds on an occasional basis.
  • While performing required job tasks, physically able to bend, crouch and reach continuously.
  • While performing required job tasks, physically able to climb stairs, ladders or scaffolding as necessary.
  • While performing required job tasks, physically able to remain seated, frequently to continuously.
  • Possesses dexterity abilities required to perform typing, operate a computer and other office equipment, to perform filing, and related job responsibilities and attention to detail competence.
  • Physically able to spend significant time reading both on paper and on a computer.
  • Ability to travel by car and plane for University business. Ability to drive.

  • Ability to edit work for spelling and grammar, present numerical data effectively and is able to read and interpret written information. Demonstrates accuracy and thoroughness and monitors own work to ensure quality.
  • Adapt to change in the work environment, manage competing demands and able to deal with frequent change, delays or unexpected events.
  • Ability to accept supervision, assignments, change and correction. Proven effectiveness in dealing with a wide range of professionals, staff, and administrators.
  • Ability to balance priorities to accomplish assigned tasks within the required time frame and be able to shift quickly between several tasks without loss of continuity.
  • Engage in meaningful and intentional professional development appropriate for areas of responsibility and actively engage in personal and campus well-being initiatives.
  • Carry out all responsibilities and objectives in professional manner.
  • Accept and render constructive criticism in a professional manner.
  • Adhere to the policies and procedures established by St. Edwards University.
