Provides a wide range of duties from executive level administrative support to oversight of programmatic responsibilities; directs all matters relating to the two Assistant Vice Provosts daily responsibilities; manages calendars, plans and coordinates meetings; prepares meeting agendas, written communications, and coordinates phone calls performs administrative work of a complex nature; including, handling confidential information, managing complex travel arrangements, and interacting with all levels of personnel at the university with a high degree of autonomy and integrity. As a member of the Targeted Programs team, provides administrative support for LASER, ACCESS Collaborative, Faculty/Staff diversity initiatives, and program initiatives that support the mission of the Office of Diversity and Inclusion. Manages the administrative office by providing primary support for mail and copier services; maintains filing systems; assists with the preparation of administrative reports; budget reports, orders supplies; prepares correspondence; prepares purchase orders, reconciles purchasing cards; serves as liaison with other university and Office of Diversity & Inclusion, faculty, staff, students, and the public; works well with frequent and unexpected interruptions in a fast-paced, quickly changing environment that experiences a high volume of customers (both scheduled and unscheduled); manages information flow; performs duties with a sophisticated level of independence, solid judgment, and advanced levels of decision-making responsibility, while handling sensitive and confidential matters; manages special projects and events as requested; supervises and schedules student employees when needed; acts in place of the Executive Assistant to the Vice Provost and Chief Diversity Officer in their absence.

Bachelor’s degree or an equivalent combination of education and experience; extensive travel coordination; experience managing multiple electronic calendars; experience in office practices and procedures, including customer service/public relations; operation of computer and basic office machines and equipment; proficient with Microsoft Office Suite; excellent written and verbal communication skills; skills/experience in handling confidential information and producing detailed materials at a high level of accuracy; ability to multitask; ability to learn new software quickly; experience maintaining budgets and producing financial reports; a commitment to diversity & inclusion goals and a demonstrated ability to work with others across multiple dimensions of diversity.

Desired Qualifications

Purchasing and expense reconciliation experience; one year of supervisory experience; experience with meeting/event coordination and execution; knowledge of university procurement, purchasing policy, and electronic request system; knowledge of grants management.
