Preferred Qualifications

Bachelor’s degree in business or human resources preferred and two years experience in position management preferred. PeopleSoft experience a plus.

Position Summary

The Office of Research is seeking a dynamic individual for the position of Business and Human Resources Specialist, reporting directly to the Assistant Director of Business and Human Resources. The incumbent will be responsible for processing and managing various human resource and financial management actions using the university’s financial accounting and human resource management systems. Other responsibilities of this position include payroll auditing, federal work study liaison, p-card administrator, asset management, office management, and event planning.

Human Resource Management:

- Process and manage employee actions, including but not limited to, position requests for evaluation or modification, postings, hiring proposals, separations, onboarding, position funding changes, and other ad hoc and manager self-service actions.
- As part of Onboarding, greet new employees and complete I-9s. Assist new employees with inquiries and direct them to the appropriate HR office for assistance when necessary.
- Assist hiring managers with provisioning access for new employees to various systems as needed
- Maintain position management structure within UGAjobs for faculty, staff and student positions.
- Federal Work Study Liaison: Attend FWS meetings as required to stay informed of program and procedural changes, assist managers with posting positions and the hiring process.
- P-card Administrator: Process p-card requests and cancellations, keep apprised of policy changes, provide guidance to p-card holders and facilitators when policy changes occur and answer inquiries related to p-card management. Coordinate with Procurement as needed to manage changes to p-card holders and other actions requiring the assistance of the Procurement office.
- Audit bi-weekly payroll reports for accuracy. Consult with supervisors to address discrepancies, preparing adjustments as needed and advise supervisors on corrective actions.
-Update Office of Research directory as needed.

Financial Management:

- Manage a portfolio of financial accounts for departments reporting directly to Office of Research administrators. Accounts will be periodically rotated for cross-training purposes.
- Initiate, review, and/or approve financial transactions including but not limited to, budget transfers, journals, payment requests, purchase requisitions, expense statements, travel authorizations, and deposits.
- Oversee the annual inventory management process, including supervising students and assist other personnel who locate and scan bar codes of inventoried equipment.
- Approve and enter off campus equipment requests.
- Coordinate with other asset managers across the university to appropriately transfer or surplus equipment.
- Respond to inquiries related to inventory management.
- Access and prepare reports as needed.

Office Management:

- Maintain office supply inventory and utilize UGAmart for supply orders.
- Point of contact for Xerox leases including processing annual lease renewals and new leases as contracts expire.
- Contact Xerox as needed for repairs/maintenance and technical support.
- Maintain and replenish supplies for Xerox copiers assigned to the department.
- Assist users with troubleshooting copier jams and error messages.
- Other duties and special projects as assigned by Office of Research administrators.

Duties/Responsibilities

Plan and coordinate events to promote UGA core facilities including, but not limited to, engaging sponsors and requesting sponsorship for specific events, reviewing and scheduling venues, catering, equipment rental and mobilizing office personnel to assist with event coordination.
