The Student Financial Services (SFS) Counselor provides information and services to prospective and enrolled students and families with regard to financial aid, college financing programs, and student accounts. In addition, the counselor reviews financial aid applications to assure accuracy and completeness, determines federal and institutional eligibility for a subset of applications, and performs relevant project work and program support. The SFS Counselor reports to the Senior Associate Director of Student Financial Services. Counselors work independently on most daily tasks but consult regularly with others in the office, as needed.

Essential Duties and Responsibilities:

  • Assist prospective and current students and families in managing the financial aspects of their Mount Holyoke education.
  • Contact students and families to collect necessary information to complete financial aid files, resolve conflicting information and resolve Institutional Student Information Record (ISIR) rejects/issues.
  • Provide secondary oversight for student employees and also act as support to student staff as needed.
  • Participate in training sessions and stay current on federal regulations and guidelines.
  • Provide operational support to office communications efforts (edit and update office communications, run daily communication job processes).
  • Process federal verifications as mandated by federal law. Review the students and or parents federal income tax information for correctness and compare information on Free Application for Federal Student Aid (FAFSA).
  • Collect and/or analyze financial data on assigned students to determine aid eligibility and make awards within federal and/or institutional guidelines.
  • Keep Senior Associate Director of SFS informed of issues and concerns raised by inquiries; identify and recommend changes in processes to better expedite financial aid process (both general and student specific).
  • Develop and maintain documentation of office procedures and identify opportunities to leverage technology to streamline processes.
  • Develop and demonstrate a commitment to diversity, equity and inclusion (DEI) practices and contribute to cultivating an inclusive, diverse, and respectful college community. Demonstrate fair and inclusive behavior when interacting with staff, faculty, students, and visitors to the college. Promote a flexible, collaborative, and inclusive work environment and engage in educational opportunities to increase awareness and understanding of diversity, equity and inclusion.
  • In the absence of student employees, image financial aid and student account documents, store documents electronically, and provide coverage for the front desk.
  • Process information exchange forms from scholarship agencies, Graduate Record Exam (GRE) fee waiver requests, etc.
  • Provide general office administrative support as needed.
  • Perform other miscellaneous job-related duties as assigned.

Qualifications & Skills:


  • Experience reviewing and analyzing financial records and processing information with ease.
  • Ability to use, manage and understand numbers to make financial aid judgements and decisions.
  • Proven experience managing projects and completing tasks accurately, on deadline and with a keen attention to detail.
  • Able to manage time, tasks and projects with a high degree of independence.
  • Ability to multitask, change pace quickly, adapt to new regulations, systems and/or system changes.
  • Demonstrate a high degree of organizational, motivational and problem solving skills.
  • Able to work both independently and collaboratively.
  • Demonstrated experience with desktop office applications such as MS Office and comfortable learning and utilizing new technology.
  • Strong customer service skills.
  • Strong written, verbal and interpersonal communication skills.
  • Ability to travel (infrequently) for outreach programs and training.


  • Bachelor’s Degree or equivalent experience.
  • Experience with Colleague® by Ellucian, PowerFAIDS, COD, NSLDS, FAA Access, ELM as well as payment plan and online payment vendor systems.
  • Experience working with families (students and parents) on the Free Application for Federal Student Aid (FAFSA), student loan programs, or related financial aid programs.
  • Experience working with families (students and parents) in a private college or university setting.
  • Experience with federal, state and/or institutional student financial aid guidelines
