Looking for an experienced individual with strong administrative support experience to provide superior & friendly customer service in a dynamic, fast-paced office, coordinate all administrative employment and recruitment functions, and provide general administrative support for the Office of Human Resources.


  • Serves as departmental receptionist/front-desk support;
  • Assists Director with coordination of schedule and calendar and ensures walk-ins are handled accordingly;
  • Responsible for all applicant tracking processes;
  • Assists with recruitment efforts (setting up interviews, processing background checks, reference checks, job postings, etc.);
  • Works extensively within HRIS system to process all necessary employment changes/maintenance (i.e. write PAFs, process paperwork & data entry of all employment processing, new hires, terms, address changes, etc.);
  • Assists with new hire and termination employment processes;
  • Works on various HR projects;
  • Preparation of basic documents and data entry;
  • Set-up conference calls and organizing departmental and non-department meetings as well as making department arrangements and coordinating calendars;
  • Processes miscellaneous phone calls, emails, and correspondence;
  • Responsible for updates to HR website;
  • Maintains and updates departmental procedures;
  • Responsible for maintaining the HR department email box;
  • Processes departmental invoices for payment and expense reimbursements as assigned;
  • Set-up “New Hire” packets for new employees and prepares for new employee’s first day of work;
  • Assists with compiling articles for the employee newsletter;
  • Responsible for document imaging (scanning), filing;
  • Reviews scanned documents for accuracy;
  • Orders departmental supplies and coordinates servicing of office equipment;
  • Coordinates business card orders and faxes orders to vendor;
  • Orders flowers or sends appropriate cards to employees, per our Condolences & Congrats policy;
  • Mail distribution;
  • Updates HR bulletin boards;
  • Assists in the coordination of employee events/planning, including set-up and take-down;
  • Assists with Stetson's walking group; responsible for coordination and leading the group;
  • Assists in wellness efforts;
  • Ensures integrity of all files and secures files daily;
  • Maintains confidentiality;
  • All other duties as assigned.
Required Skills

AA/AS degree required. 3 to 5 years administrative support experience required. Must be a self-starter, who works well in a fast-paced environment. Has the ability to maintain a consistent, dependable and regular work schedule. Excellent interpersonal skills and commitment to HR services are necessary and strong written and oral communication skills are required. With a positive demeanor, works as a HR team member, functioning under timelines and being responsive. Flexibility, multi-tasking, excellent judgment, attention to detail and follow-through are required. Maintains confidentiality. Great people skills and professionalism are necessary. Establish and maintain positive and collaborative working relationships, both internally and externally. Works to build an environment that promotes and facilitates the success of Diversity and Inclusive Excellence. Occasional night and weekend work may be required. Computer skills to include: technically-savvy and intermediate to advanced knowledge in MS Office: Word, Excel, Outlook/Calendar.


BA degree preferred. Experience in Human Resources, strongly preferred. Ability to mail merge documents strongly preferred. Knowledge of PowerPoint, Publisher, Banner and scanning system, a plus. In lieu of degree, consideration for years of experience in an education environment, or satisfactory combination of education and/or experience.
