Primarily responsible for counseling parents and students on all aspects of the financial aid process and preparing financial aid packages for undergraduate and graduate students in accordance with federal, state and institutional guidelines. Administer specific financial aid program to include FFEL (Federally Funded Educational Loan) and other loans, state, federal, and/or institutional grants/scholarships as assigned. Utilize databases to extract and provide a variety of reports and information.

Position/Job Responsibilities

1. Participate in the attainment of the Office of Student Financial Services goal to provide outstanding customer service to students, parents and other constituents; answer telephones, respond to questions regarding financial aid packages and eligibility, provide program and student account information, meet with individuals and/or schedule appointments as appropriate.
2. Counsel parents and students on all aspects of the financial aid process, programs, financing opportunities, payment plans, and student billing. Advise the parents and students regarding the various options of different financial aid opportunities.
3. Participate in presentations to prospective students and parents.
4. Gather and analyze information regarding the parent’s and student’s financial situation. Make professional judgments in recalculations of financial need and aid eligibility. Determine financial aid options which best meet the student’s needs and financial circumstances. Determine academic progress as required in administering federal, state and institutional aid programs.
5. Create financial aid packages for undergraduate and graduate students using federal methodologies and institutional guidelines. Ensure packages are within the parameters of Federal, State and institutional guidelines. Review requests for appeals to financial aid packages. Revise financial aid packages as appropriate. Consult with management as necessary
6. Determine scholarship amounts and assign endowed and restricted scholarships to students according to institutional guidelines, donor’s requirements, and analysis of financial aid options.
7. May administer the ACG, PELL & SMART Grant programs to include data exchange with federal agency to communicate potential eligible students; receive confirmation of ability to award to individual students; disbursement and communication of disbursement to federal agency; reconciliation and exception analysis; and review of academic records for ACG program. Work with the Office of Financial Services to balance Pell Disbursement to general ledger.
8. May administer NYS Scholarships/Grant programs such as TAP, part-time TAP, APTS, and other NYS scholarships to include identification of potential recipients and certification of eligibility; annual testing/set-up of system; initial and on going data exchange with NYSHESC for verification of potential recipients; identification and outreach to students requiring action or not meeting requirements to receive TAP ; collection of TAP waiver request information; obtain NYS scholarship recipient information from students and via data exchange with NYSHESC;
9. May administer the Federal Perkins Loan Program to include outreach to eligible students to sign promissory notes; maintenance of records for non-electronic promissory notes; data exchange with ECSI to communicate loan recipients and promissory notes needed; receipt of data files for recipients with completed promissory note; and running processes to upload data into the SCT Student Information System Banner (Homer).
10. May administer the Dana Internship Program to include coordination with the Provost Office to identify eligible students; providing help sessions for interested students; collection of student proposals; identification of financial need eligibility; coordination with external student placement; data entry; and review of Dana Interns’ TRF’s.
11. May administer the HEOP financial aid program to include identification of prospective eligible students working with HEOP program coordinator and Admission Office; compiling data; tracking expenditures and accept/yields; and completing reports for internal and external use.
12. May administer the Ithaca Opportunity Grant to include analyzing accepted ALANA student financial need; determining eligibility for IOG; working with Admission Office for marginal student profiles; and tracking expenditure and accept/yields.
13. May serve as liaison with other college entities for Martin Luther King Jr. (MLK), Park Scholar, and Leadership scholarship programs.
14. May be responsible for administering loan programs such as Federal Stafford, Federal PLUS, and other educational loans to include extensive loan review for certification; data entry and loan processing within Homer; exception reporting, monitoring, and batch processing; data exchanges with various providers including ELM; preparing various reports and population selections to determine recipients ready to certify, certified loans, and disbursement clean up. Perform entrance/exit interviews for FFEL programs as needed.
15. Administer financial aid for students studying abroad to include initiating consortium agreements and collecting and maintaining documentation for disbursement of appropriate award.
16. Participate in the financial aid verification process for new and returning students to include receiving supplemental documents; reviewing and entering codes into HOMER; review of W-2’s; verifying profile data against FAFSA data; contacting students and families to resolve conflicting information; and verifying application data for federal, institutional, and state aid programs.
17. Participate in reviewing and maintaining award and disbursement criteria for financial aid processing in accordance with College, state, and federal policies. Develop policies and procedures to implement assigned program(s) in accordance with state, federal and institutional guidelines.
18. Perform refund/repayment calculations using computer based software or manually as required.
19. Use various reporting tools to write reports as necessary Collaborate with Information Systems as needed.
20. May assist in the design, testing, and implementation of computerized systems and functions used within the office, and in ensuring appropriate processes are in place and utilized for assigned aid program administration.
21. May perform data entry and processing functions to include entering, verifying and updating student data and information within the Department of Education and Ithaca College databases; entering and maintain financial aid application data and student financial aid awards; and creating lists of accepted and paid students.
22. Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

Position/Job Qualifications

Bachelor’s degree and a minimum of 3 years professional experience in a financial aid office or the equivalent combination of education and experience; a solid knowledge of various state, federal and institutional aid programs, strong analytical skills, excellent written and verbal communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment, experience presenting information to large and small groups and the ability to utilize software programs necessary to perform assigned functions are required. Familiarity with the administration of Title IV aid programs preferred.
