Job Description Summary:
Southwestern Michigan College, a two-year college located approximately 45 minutes north of South Bend, Indiana, and approximately 45 minutes from Lake Michigan's eastern shore is seeking a full-time Student Accounts Specialist to work in the College's Business Office.

The Student Accounts Specialist, under the supervision of the Sr. Staff Accountant and Accounting Manager, is responsible for Business Office window coverage, taking payments from the student body, payment plans, collection of receivables and and processing third party bills.

Essential Duties and Responsibilities:

  • Respond to phone calls, e-mails, mail, and in-person inquiries.
  • Answer billing questions, collect and post monetary transactions on student accounts.
  • Analyze account issues and assist in resolving problems with student accounts.
  • Help create, maintain, and manage payment plans.
  • Invoicing students on a weekly basis.
  • Writing off bad debt and sending student accounts to collections and maintain those files.
  • Process daily Cash Receipts.
  • Process financial aid refunds and other refunds.
  • Code third party authorizations into Banner and process third party billings for high school students (dual enrolled, academies, and direct credit), businesses, and government agencies.
  • Maintain petty cash box, request replenishment of funds with provided backup.
  • Manage the funds in the vault and replenish small bills as needed.
  • Backup for processing the cash up as needed, which includes counting down cash-drawer at the end of the day, process and reconcile the previous day's transactions.
  • Backup for daily mailroom tasks.
  • Assist in box office support for ticket sales.

    Required Qualifications:
    • Associates Degree
    • Experience with providing excellent customer service
    • Experience with Microsoft Word and Excel
    • Organized with strong attention to detail
    • Strong oral and written communication skills
    • Experience with multi-tasking and performing duties with minimal supervision in a fast-paced, demanding environment with constant interruptions
    • Experience with prioritizing time and meeting established deadlines

    Preferred Qualifications:
    • Associates Degree in Accounting or Business
    • At least 2 years of office experience in a similar position
    • Familiar with academic registration and financial aid policies and procedures

    Other Information:
    Flexibility in scheduling is required as this position will provide coverage to the Business Office during regular working hours. At certain times throughout the year, additional work hours may be required on Saturdays and evenings.
