UCLA College of Letters and Science is the academic heart of UCLA and home to more than 85 percent of the university's 28,000 undergraduate students. Together, its four academic divisions of Humanities, Life Sciences, Physical Sciences, and Social Sciences encompass 34 departments, 109 undergraduate majors, more than 50 graduate degree programs and over 40 PhD programs that span research and teaching across both traditional and emerging disciplines in the liberal arts and sciences. Undergraduate and graduate students of the College move on to become business, government, community and academic leaders of California and the world. UCLA College Development is seeking a confident and self-starting Events Manager to plan and implement small to large scale events and programs that will advance the development goals of the College. Under the guidance of the Director of Events, the Events Manager will be responsible for duties to include: identifying and booking venues; developing creative invitation design and ideas; coordinating event invitation production; preparing mailings (both electronic and physical); assembling guest lists and tracking and confirming responses. This individual will select and contract with all external vendors and internal service departments for all facets of event production, as well as trouble-shoot logistical problems as they arise during the planning process and execution of events. The Events Manager will handle financial aspects of events such as developing and managing event budgets; creating purchase orders and contracts with vendors; submitting invoices to Accounts Payable, and ensuring vendors are paid in a timely manner. This individual will also maintain accurate and complete archive materials on all College development and academic events. The Events Manager will develop and maintain efficient and cooperative working relationships with development officers, academic leadership, and colleagues across campus, including faculty, deans, as well as other internal constituents such as those in Facilities, Catering, A/V, UCLA Events and UCPD. In addition, this individual will work with other external constituents as appropriate.
