What we do:


Buildings & Grounds Maintenance (BGM) is responsible for maintaining the academic buildings and grounds of the Stanford campus. This is where you come in.

You are a detail connoisseur, always ensuring that every detail is covered as part of your everyday role. You take initiatives and come up with suggestions for process improvements. Your communication skills are top notch, whether it is on paper, email or in person, your interactions with internal and external clients leaves a positive impression. Your Project management skills are sharp and you require little to no supervision in your daily work. You utilize your computer skills to manipulate and report complex data. You develop new tools to assist with data collection and analysis.



You have mastered certain Excel skills, specially Pivot table and VLookup to be able to identify trends and make suggestions on improvements based on data analysis.
Job Purpose


The Preventive Maintenance (PM) Program Associate is responsible for the planning and coordination of the preventive maintenance for mechanical, plumbing, electrical, HVAC, grounds, garage, architectural and building trades under direct supervision of the PM Program Manager. The Program Associate utilizes a maintenance management system and project planning software for the implementation of strategic and tactical planning for the maintenance program schedules.
Your Primary Responsibilities:


Manage overall PM program Under the direction of The PM Program Manager, work to balance PM program, scheduling maintenance as needed through the year, weekly etc. Ensure maintenance of equipment is completed on time with a high percentage rate, based on critical levels as assigned. Coordinate with building managers as necessary to schedule contracted PM work. Provide continual updates to maintenance programs.



Manage assets & activities in the PM program Use maintenance management system to update assets and PM activities under the guidance of the PM Program Manager and Supervisors. . Assign PM schedules and appropriate frequencies. Ensure all activities stay up-to-date and current with bill of materials, location and estimated hours. Support the management of personal protective equipment [PPE] to ensure workers receive new materials at scheduled intervals.



Plan PMs to maximize efficiency based on location Minimizing trips to the same location for multiple maintenance work orders is a goal of the program, as such the PM associate will be able to consolidate building and equipment maintenance schedules to increase efficiency.



Develop material kitting for PM program Update and maintain the bill of materials for all PMs. Coordinate between the materials vendor and scheduling/planner group to set up a process to purchase materials in advance to avoid delays in the maintenance program. Create Kits specific to each asset maintenance. Identify a task list vs the PM asset and determine the appropriate kit.



Provide Quality Assurance of PM contractor assignments Create and maintain a working relationship with various vendors. Review contractor labor, including reactive work, and ensure that the scope of work is executed properly and completely. Conduct field inspections and work with supervisors to ensure satisfactory performance prior to approval of invoices for service. Provide yearly evaluations of contractor performance and recommend improvements to the contracted scope of work. Initiate purchase orders for reactive work and coordinate with LBRE Finance to facilitate payment. Forecast expected labor from contracted service providers for financial planning.

1 year + with asset management system, a work order system Excel skills - pivot, vlookup, base of knowledge formulas Experience managing vendors/contractor Experience with ordering materials [codes, part numbers, etc] Preferred:


Trades knowledge in one or more of the following: carpentry, electrical, plumbing, hvac
Scheduling work orders
