The Office Manager oversees nursing care of patients, along with front office staff for the UVa Specialty Care practice. The incumbent supervises, oversees the clinical quality, assists in the training of staff, and evaluates PCS staff in conjunction with the front office staff. In addition, the Office Manager works closely with the Clinical Operations Director to enhance overall patient flow and staff efficiency and competency. Serves as a positive role model fostering a team approach. Position responsibilities include a combination of office and clinical
settings

  • PRINCIPAL DUTIES AND RESPONSIBILITIES:

Essential functions of the job: 

  • Works closely with Medical Staff, HSC, and HSF. Assists in establishing an efficient and effective patient flow.
  • Supervises Patient Care PRN resources, as well as front office staff.
  • Time sheet processing and payroll report reconciliation for entire office staff
  • May assume the role of Patient Care Specialist II, as well as front office representative as staffing levels require.
  • Coordinates staff education, competency assessment, orientation, training, and cross-training of clinical staff.
  • Establishes and Participates in Medicine Quality Improvement Program.
  • Participates in planning and forecasting as well as in formulation, implementation and enforcement of Patient Care policies.
  • Responsible for interviewing, hiring, terminations, performance management, and orientation of new employees.
  • Assists Management in working with Office Managers and vendors to obtain most cost effective drugs and medical supplies.
  • Process vendor invoices for Accounts Payable process and process check requests.
  • Petty Cash and Change Fund upkeep and reconciliation monthly.
  • Ensure timely Bank Deposits.
  • Maintenance of appointment schedule templates, updates and revisions based on physician preference.
  • Ongoing office maintenance both interior and exterior
  • Works closely with Clinical Operations Director in coordinating overlapping issues and communicating effectively.
  • Participates in establishing clinical operational goals, both long and short term and participates in preparation of the annual
    operations budget.
  • Acts as a liaison between the Clinic and the consultant for on-site laboratory testing (assures all policies and procedures are in
    place, QC log books are maintained and current, and initial and annual competency is documented for all staff performing testing)
  • Evaluates the performance of clinical staff by monitoring individual work performance and obtaining feedback from referring providers
  • Handles Physician and Staff Licensure.
  • Responsible for OSHA and outside clinical issues.
  • Performs other services as required by Clinical Operations Director.

MINIMUM REQUIREMENTS


Education:
High School diploma or GED


Experience:
Two years previous clinical office experience and must have experience operating electrocardiogram and other medical
equipment and in the performance of Point of Care testing, 5-7 years previous experience in health care industry or 2-3 years
supervisory experience, Supervisory experience required.

Licensure:
Requires licensure as a Registered Nurse, Certified Medical Assistant or Licensed Practical Nurse in the Commonwealth of
Virginia

Skills:
Basic knowledge of and experience utilizing a personal computer.
Basic word processing skills required.


PHYSICAL DEMANDS
Job requires standing for prolonged periods, frequently bending/stooping, reaching (overhead, extensive, and repetitive); Repetitive motion:
computer keyboard. Proficient communicative, auditory and visual skills; Attention to detail and ability to write legibly; Ability to lift/push/pull
50 - 100lbs. May be exposed to noise, radiation, radioactive materials, blood/body fluids and infectious disease.
