Job Description Summary
Reporting to the Assistant Director of Student Programs & Engagement (SP&E), the Program Coordinator is a live-on staff member responsible for promoting an innovative and high-quality co-curricular experience through data-driven and theory-informed advising and programming efforts. The Program Coordinator serves as the advisor to the Campus Activities Board (CAB) and is the primary departmental resource for 60+ recognized student organizations. The Program Coordinator is responsible for planning and supporting departmental events including Fall and Winter Activities Fairs, Welcome Back Weekends each semester, and student organization success programming throughout the year. The Program Coordinator is expected to actively participate on committees and serve as a resource for students relative to their co-curricular engagement on campus.

Essential Duties
  • Utilize student development theory in their advisement ofCAB, which is comprised of a four person board of directors, 14 member executive board, and various programming committees. Relationship-focused and developmental advisement is accomplished through empowering student leaders, attendance CABmeetings, facilitation of leadership retreats, one on one meetings with leaders, and presence atCABevents.
  • Provide administrative oversight for approximately 30 entertainment, recreational, community-building, and traditional programs hosted by CAB each year. This includes ensuring timely planning and successful implementation for all events, supervision of program budgets of over $500K in student activity fee money, contract negotiation and review, event risk management procedures, and ensuring CAB's programming is regularly assessed, reflects the needs and interests of Bentley's students, and enhances the overall co-curricular experience at Bentley. CAB events include Bentley's large-scale student programs and traditions, such as campus-wide concerts (i.e. Back 2 Bentley and Spring Day), student programming in conjunction with holidays, traditions and University events (i.e. Homecoming and Halloween), a major comedy show, off-campus trips, and other innovative programs.
  • Serve as the primary departmental resource for Academic, Arts & Media, Cultural, Recreational, Religious & Service, and Social & Political organizations, supporting organization needs related to travel and liability policies, contract review, and event planning. This includes responsibility for communicating student organization policy, connecting with organization faculty/staff advisors, managing travel and liability processes for off-campus and risk events, processing contracts for student organization programs, regular meetings with organization officers, and promoting a strong connection between organizations and the department. The Program Coordinator will be knowledgeable of organization events and activities, will be able to speak to event details including risk and liability implications for each program, and will attend key evening and weekend events as needed throughout the year.
  • Develop, implement, and assess programming designed to promote the success of recognized student organizations. These programs include but are not limited to: regular officer training workshops, Activities Fairs each semester, the Orgs @ Bentley Challenge competition series, and Advisor, Student Leader, and Organization of the Month recognition programs. The Program Coordinator assists the Assistant Director in the planning and execution of an annual recognition and celebration event for student organizations and leaders.
  • Collaborate with campus partners in University Police, Facilities, Conference Services, and other departments, as well as with external agents and vendors, to ensure the success of campus programs.
  • Co-chair the Welcome Back programming committee, along with the other Program Coordinator in the department, to ensure Back2Bentley and Winter Welcome Back weekend events are innovative, engaging, well-marketed, and promote a spirited transition back to campus for all students. The Program Coordinator serves as a member of the University Homecoming Committee and other University, divisional, and departmental committees as needed.
  • Participate in the planning and support of office-wide programs.
  • The Program Coordinator must live on campus in a provided apartment so that they have easy access to support regular late-night and weekend programming throughout the academic year. This includes being present at evening and late-night programs, attendance at student meetings, availability for after-hours student organization support, and support of divisional initiatives and programs as needed. In the event of a campus emergency, the Program Coordinator will serve as a designated staff member for student and programmatic support.
  • Perform other duties as assigned.


Minimum Qualifications
  • Master's degree in Student Affairs, Higher Education, or related field with knowledge of student development theory
  • 1-2 years event/program planning experience preferably through a graduate program
  • Experience and/or dedicated interest in campus programming and student organization advisement
  • Attention to detail, ability to manage ongoing and multiple responsibilities, and strong work-ethic
  • Passion for working in a fast-paced and dynamic department as an active and engaged team member


Preferred Qualifications
  • Experience with late night/large-scale programming desired
  • Experience in multicultural settings, diversity training programs, second language fluency, or coursework in multicultural perspectives is desirable


Work Environment
  • Fast paced environment, evening and weekend hours as related to programs required.
  • Depending on the program/event, physical involvement with respect to set up may be necessary. Initiative, striving for excellence and ability to tend to multiple details are critical to the position.
