Job Description

POSITION OBJECTIVE

Working under general direction, the Sears think[box] Coordinator is responsible for developing and managing all aspects of both internal and external programs and events for Sears think[box]—a distinct home where hands-on education, design, development, and product commercialization can cross fertilize. The Coordinator will work with a high degree of independence and under the direction of the Senior Director of Strategic Partnerships & Business Development to manage and execute meaningful, high quality programs and events. To further advance think[box] as a globally recognized institute, the coordinator will work under the direction of the program manager to develop, implement, and supervise marketing and communications efforts to help raise awareness and promote Sears think[box]. Assignments may be long-term and require the individual to rely on their own resources in task accomplishment.

ESSENTIAL FUNCTIONS

  1. Program Management: Prepare, manage, and report all aspects of the project life cycle for programs developed by the Senior Director and Program Manager. Manage all aspects of programming including corporate innovation programs, academic programs, summer camps, and other programs as determined. Collaborate with internal and external constituents on developing meaningful programming for students and community-at-large. Identify, recruit, and manage students for corporate projects, internships, co-ops, and to assist with outreach programs. Prepare, manage, and report all budgets and resources for programming. Collect data, develop metrics, and create tracking system for all programming. (30%)
  2. Event Management: Plan and manage Sears think[box] events to provide a complete guest experience that includes design, program flow, catering, setup/load-out, accommodations, transportation/parking, volunteers/staffing, communications, A/V needs, and logistics. Review strategy, logistics, and needed services for current and future events to ensure an optimal guest experience is provided. Build strong, professional relationships with internal and external constituencies to maintain open communication and coordinate joint collaboration. Prepare financial data and report on income, expenses, and related budgets for events. (30%)
  3. Communications and Marketing: Under the direction of the Program Manager, support the development of marketing strategies and content to fully engage and inform campus and external constituents of Sears think[box] and its philosophy, operating model, programs, events, success stories, and any other topics that are deemed essential to increase visibility. Conduct communications audit to improve all channels of communication. Manage social media channels including Facebook, Twitter, and Instagram and develop social media calendar to ensure content is posted regularly. Manage monthly newsletter and e-blasts sent out to internal and external constituents. Collaborate with CSE, Central Marketing Departments, and Operations Manager on website construction and maintenance. Update website as needed to ensure accuracy of information. (20%)
  4. Administrative support: Prepare administrative memos and reports for the Senior Director of Strategic Partnerships and Business Development to present to corporations. Provide administrative support for designated staff members, including scheduling meetings, preparing briefings, making travel arrangements, maintaining supply inventory and placing orders, processing vendor contracts and payment, submitting reimbursements, etc. (20%)

Department: Continuous interaction with Sears think[box] senior director, program manager, staff, faculty, and student workers to exchange informaiton.

University: Frequent interaction with school and college deans, government and foundation relations, corporate relations and strategic projects, chairs, faculty, and staff to exchange information.

External: Frequent contact with international, national, and local companies, and institutes. Frequent interaction with alumni, funding agencies, foundations, and donors. Frequent interaction with K-12 teachers and administrators to exchange information.

Students: Frequent interaction with undergraduate students, graduate students, and K-12 students to exchange information.

SUPERVISORY RESPONSIBILITY

No direct supervision of staff employees.

QUALIFICATIONS

Experience: 3 to 5 years of related experience.

Education: High school education required. Bachelor's degree preferred.

  3. Project and budget management skills are essential.

  5. Ability to engage and communicate effectively with a wide range of stakeholders, cultures, and diverse populations, including executives, researchers, academics, students, community, and policy makers.
  6. Demonstrated knowledge of digital communication mediums with experience in improving brand awareness and recognition
  7. Possess an entrepreneurial spirit and capacity to take large initiative.
  8. Excellent interpersonal, organizational, and management skills paired with a collaborative work style.
  9. Ability to engage and motivate students from multiple backgrounds (i.e.: art, business, music, liberal arts, engineering, science) engaged in outreach programs.
  10. Ability to positively interact, influence, and motivate partners, Sears think[box] team members, students, and vendors.
  11. Demonstrated commitment to high professional ethical standards within a diverse workplace.
  12. Must demonstrate ability to multi-task and work effectively in fast-paced, rapidly changing, team-based work environment.
  13. Ability to meet consistent attendance.
  14. Ability to interact with colleagues, supervisors, and customers face to face.

WORKING CONDITIONS

Will require evening and weekend work. General office environment and could involve some lifting of common office supplies, storage, retrieval of items, or re-arranging of space.
