Position Summary:

Serve SSW faculty by providing operational support, ensuring policy compliance and consistency for faculty processes and contracting (e.g., hiring and promotion of all adjunct faculty at SSW); serve as a front-facing liaison between adjunct faculty and other administrative divisions at SSW and the College; responsible for liaising with Smith College Educational Technology Services to ensure a sophistical integration of educational technology throughout course sites; lead  and manage communications, analysis, and record management. Collaborate with external committees and constituencies, including faculty chairs and committees, the Registrar’s Office, Information and Technology Services, and Human Resources. Situate work of the office with an appreciation and understanding of the vision and mission of the SSW.  Ensure high quality, proactive, timely, and responsive administrative support services for faculty with a strong customer service attitude.

Duties and Responsibilities:

Contract Approval: Administer and coordinate adjunct faculty contracts in compliance with Smith HR employment policies; Serve as the approver of all SSW adjunct contracts, directing and overseeing contracts throughout their lifecycle; be proactive and responsive to contract issues; keep in close communication and productive collaboration with other SSW departments; maintain impeccable records and documentation; advise the Associate Dean regarding relevant policies, policy gaps, and contract evaluation.

Course Scheduling and Management:  Work in collaboration with the Associate Dean for Academic Affairs and faculty curricular chairs to hire adjunct faculty; in concert with the Registrar add new adjunct faculty to the course schedule;  Identify, collect, evaluate and present key data to inform curricular decision making by faculty and for other internal and external reporting needs (i.e., CSWE, IPEDS, Institutional Research, etc.). Coordinate with Summer Programs, IT and Facilities to ensure appropriate classroom support. 

Collect, standardize, and archive course syllabi; develop electronic course pages; consult with Educational Technology Services to ensure that SSW courses use the full capacity of the electronic classroom learning management systems; Provide electronic classroom and other educational technology trainings for faculty, maintain faculty electronic classroom page and online/web information (bios, etc.).  Coordinate with others on logistical information for faculty (housing, parking, meals, IDs). Coordinate details in preparation for adjunct instructors’ arrival on campus for the summer academic sessions. Coordinate new faculty orientation and trainings (i.e., P & D, online anti-racism course, etc.); oversee communications in preparation for teaching. 

Collaborate with the library circulation and reserve departments and ITS personnel to facilitate and monitor timely preparation of universally accessible instructional materials including copyright clearance. Provide academic support to adjunct instructors including but not limited to: data entry, filing, copying, library proxy access and limited research for faculty course development, scheduling meetings, and coordinating with ITS to facilitate educational technical services. Contribute to the School’s CSWE reaffirmation self-study.

Maintain SSW Course Listing: Work closely with curricular sequence Chairs to ensure that all ongoing curricular changes and modifications are documented and conveyed to the registrar’s office; Serve as contact with IT for developing and maintaining online course listing system. Work to develop new reports associated with online catalog system.

Faculty Support Services: Recruit, hire, train, and supervise part time faculty support assistants. Develop a responsive system by which faculty support requests are managed and completed; oversee all related communications. 

Data Systems Support: Assist in the development of online processes to streamline the collection of information needed by the Registrar and for faculty in their decision-making (i.e., online forms, expansion of SSW Portal site, use of interactive sites, etc.)  Create user-friendly data reports to make information more readily accessible, informative in terms of trends and contextually relevant to decisions.  Other duties include maintenance of database of CVs for current, past and potential future faculty; maintain and compile faculty trend data for IPEDS, CSWE, Trustees, etc.

General: Assist the Associate Dean in support of curriculum design, development, implementation, and revision; maintain faculty, faculty services and curriculum web pages.  Back-up other school staffing as needed, including but not limited to commencement and the reception desk. 

Other duties as assigned.

Qualifications:

MINIMUM QUALIFICATIONS:

Education/Experience:  Associate's degree, plus 3-5 years’ relevant experience preferably in a higher education administration, or equivalent combination of education and experience. Bachelor’s degree preferred.

 

Skills: Excellent interpersonal skills and strong customer service orientation; Proactive and ability to take initiative; history of team building capacity; demonstrated ability to work independently as well as collaboratively and effectively with colleagues and other campus constituencies; significant history with consumer orientation with students, members of the public, and college colleagues.  Detail oriented. Strong communication, organizational and leadership skills; track record of flexibility and adaptability in problem solving; ability to think creativity and use sound judgment; demonstrated strong technical expertise and experience in MS Office, data management systems (i.e., Workday), and electronic classroom learning management systems;  ability to identify and utilize data in decision making; ability to function in a fast-paced environment under the pressure of deadlines with accuracy and attention to detail.
