The Associate Registrar provides leadership and supervision for daily operations and coordination of activities within the Office of the Registrar; ensures the integrity, security and maintenance of all student academic records for current and former students; develops and implements strategies to maintain effective and efficient operations within the office.

This position has two primary responsibilities:  to maintain student record data within the university’s student record system and to oversee technological resources for the Registrar’s Office.  This position will work closely with the University Registrar, Associate Registrar for Enrollment, the Associate Registrar for Records, and other members of the leadership team to codify business processes, calendars of operation and data integrity procedures within the office.  The second primary responsibility is to develop and maintain all web-based/online resources for the Office of the Registrar. These online resources serve the university’s staff, students and faculty with information on academic policies, administrative policies and procedures, forms, data, etc.  This online resource system functions as our main communication tool for both data retrieval and educational information.

The Associate Registrar is current with trends, issues and technology, providing optimal service to students, faculty and staff.

This position may supervise 2-4 staff, a graduate assistant and/or 2-3 students.

Specific Duties

Oversee Office Website and Online Resources (30%)
•    Design, create, edit, and manage the design and content for website and digital communications for the Office of the Registrar, including social media.
•    Coordinate various electronic and online communication sequences from the office.
•    Oversee the annual university bulletin publication process.
•    Liaison with Information Technology and Campus Solution ERP to ensure seamless communication of changes, updates or training issues.

Oversee Data Integrity Issues (30%)
•    Maintain Calendar of Operations.
•    Produce regular reports including error reports, queries, etc. regarding student data. Work with office staff to ensure that data errors are corrected.
•    Troubleshoot data or system issues with office staff.
•    Work closely with Data Warehouse and Institutional Research offices to produce reports.

Maintain Student Information Systems Functions (30%)
•    Manage student Degree Progress Reports.
•    Manage access and access issues related to the Student Information System (SIS).
•    Coordinate testing and training for quarterly updates to the system.
•    Manage new program entry process, including Cognates.

Assist in the daily operation of the Office of the Registrar (10%)
•    Serve as a member of the leadership team and provide assistance to staff throughout office.
•    Coordinate office’s communications sequences to deans, faculty, staff and students.
•    Participate in office decisions and strategic planning.
•    Other duties as assigned.

Minimum Qualifications:
•    A Bachelor's degree.
•    3 years of supervisory experience.
•    Demonstrated competency with multiple computer applications including MS Word, PowerPoint, Excel, Access, email.
•    Proficient in HTML, Adobe Dreamweaver, Photoshop/Fireworks, Flash or similar programs.
•    Consistently displays accuracy and attention to detail.
•    The ability to be helpful, respectful, approachable, and team oriented to build strong working relationships and a positive work environment.
•    Excellent written and verbal communication skills.
•    The ability to demonstrate logic, rationality, objectivity and to use all available information to make educated decisions.
•    Displays consistency and success in adhering to deadlines.
•    The ability to prioritize, plan, organize, and schedule in an efficient and productive manner with attention to detail.
•    Strong customer service skills.

Preferred Qualifications:
•    Master’s Degree.
•    Experience with People Soft Campus Solutions software.
•    Experience with CourseLeaf Catalog software.
•    Experience at a higher education institution in an administrative capacity.
•    Demonstrated ability to perform duties and responsibilities with attention to detail and support for organizational policies, as well as the ability to anticipate demands/pressures of assignments and adjust accordingly.
