Job Family:

Jobs in this career family provide direct professional support of research activities.  Functions include contracts and grants solicitation and administration, grant/agreement preparation, review and negotiation, regulatory compliance, sponsor communication and post and pre-award management, human subject compliance, research animal management, research laboratory coordination and instruction, environmental health and safety, radiation control, hazardous materials use, disposal and training.

 

Professionals at the intermediate level are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.

 

At the intermediate level, duties may be more limited in scope and are performed with guidance and direction from other professionals.

 

Nature of Work:

The Department of Pediatrics (DOP), Section of Infectious Diseases has an opening for a full-time Grant Coordinator to work at the Anschutz Medical Campus in Aurora. The major function of the Coordinator is to provide day-to-day assistance to the Principal Investigator (PI) and assisting the DOP centralized Pre-Award team with documents to apply for sponsored projects, perform administrative work to support these projects in collaboration with the centralized DOP fiscal management team. Position will provide comprehensive administrative and monitoring of project performance and accomplishments.  Position serves as a resource to the Principal Investigator and the Infectious Diseases section as needed.

 

Duties

Sponsored Project Applications

  • Act as a liaison between the PI and DOP centralized pre-award team
  • Assist PI to assemble all proposal elements including Specific Aims, Research Strategy, References, Budgets, Biosketches, Facilities & Resources, Protection of Human Subjects, Letters of Support and other as appropriate and fill out the online application
  • Keep abreast of changes in application instructions for federal sponsors
  • Review applications for consistency, accuracy, and completeness.
  • Submit information to the DOP pre-award administration to review and internally route grants and contracts
  • Interact with PI on the preparation of both sponsor and institutional forms to ensure all submission deadlines are met
  • Keep a calendar of when items are due by sponsor/project
 

Sponsored Project Administration

  • Maintain current files on all grant applications and approvals
  • Maintain knowledge of current and new UCD and funding agency policies
  • Develop and maintain comprehensive calendar that includes all grant start, end and renewal dates, as well as all report submission deadlines.
  • In conjunction with the DOP centralized team, meet with PI on a regular basis to review project objectives, status, and financial projections supplied by centralized post-award specialists
  • Regularly review DOP salary spreadsheets for PI and PI’s staff, effort on projects, and funding sources, and communicate changes to funding distribution and/or PET to the centralized post-award
  • Work with DOP administration on the completion and timely submission of ePERs and communicate back if any changes need to be made
  • Follow-up with to ensure invoices to sponsors are submitted timely; progress reports are submitted; and to ensure routing of necessary paperwork
  • Ensure invoices from subcontractors are received and processed/paid timely
 

Clinical Trials Fiscal Administration

  • Submit invoices to industry sponsor for reimbursement of pass-through costs
  • Notify PI of contractual issues and potential problems
  • Track productivity indicators. Prepare spreadsheets, graphs, reports. Review program status with PI.
  • Reconcile clinical trial payments
 

General Project Administration:

  • Supports office management functions such as, setting up and maintaining files, receiving and referring inbound calls and ordering supplies.
  • Purchase and maintain equipment and equipment leases; requesting repair and/or maintenance as needed
  • Act as purchaser and/or approver in the Concur Travel and Procurement System and process travel reimbursements
  • Creation and submission of CU Marketplace purchase requisitions for purchases related to research, as needed
  • Work with Infectious Disease Business Manager to assist with information needed for the DOP Webspace annual UCD space inventory
  • Maintain records for all equipment including capital equipment purchased for use by PI and Staff
  • Assist with the drafting of letters of intent for sponsors
  • Assist PI with submission of manuscripts
  • In conjunction with the DOP centralized team, assist with Material Transfer Agreements, and research contracts with industry sponsors.
  • Prepare special reports as requested
  • Arrange and schedules meetings, including conference calls
  • All other research-related duties as assigned

QualificationsMinimum Qualifications:
  • Bachelor’s degree with an emphasis in Accounting, Finance or Business-related major
  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • 1 year of experience with clinical trials administration
  • Experience in preparing detailed budgets
  • Experience working in government, non-profit and/or academic administration
Conditions of Employment:
  • Must be willing and able to successfully pass a 10-panel drug test
  • Must be willing and able to successfully pass a national criminal background check
Preferred Qualifications:
  • Experience in pre- and post-award contracts and grant administration
  • Experience with PeopleSoft production (financial and personnel), CU Marketplace, InfoEd, Cognos, CIW and finance systems
  • Previous experience in biomedical research operations, grants and contracts management and financial management
  • A master’s degree in accounting, finance, or business administration is preferred.
