Job Summary Requisition Number: 29365 Job Title: _____ASSISTANT III Working Title: Administrative Assistant Salary: $23.30 - $33.38 hourly Job Type: Career Department Name: 5350-ACADEMIC SENATE Department Website URL: Job Summary Statement: Provide administrative and analytical support to assigned Committee Analyst(s) who are responsible for staffing a variety of Academic Senate committees. Under the Committee Analyst's authority, primary responsibilities include coordinating agendas, maintaining committee rosters, preparing meeting materials, reviewing dossiers for accuracy and compliance with Senate bylaws, updating committee website content, managing a complex filing system, updating required databases and maintaining committee records, and other duties in support of the assigned Committee Analyst(s) and the Senate main office. Provide general knowledge of Senate policies and procedures for committee members. Assist in preparation for Senate meetings, annual orientations, etc.

Acting in a general administrative capacity, serve the organization by performing other duties as assigned, including scheduling Senate conference rooms, processing purchasing orders through BruinBuy, reimbursements, invoices, the Travel Express system, photocopying, scheduling meetings, distributing memos, updating basic website information, relieving the Senate receptionist as needed, in addition to other general office duties as assigned to ensure the smooth running of the Senate Office.

The Academic Senate has 23 standing committees and committee assignments may change at the discretion of the Chief Administrative Officer. Preferred Demonstrated knowledge of academic personnel dossiers to judge accuracy and completeness. Preferred Knowledge of the University and its information and service function ability to interact with various units to produce desired results. Preferred Working knowledge of Academic Senate bylaws, regulations, committee structures, and functions. Preferred Skill in analyzing information, problems, practices, and procedures to define the problem or objective and formulate planning including consideration of alternatives and implications of solutions. Required Ability to maintain computer-generated statistical spreadsheets and databases in such programs as Access and Excel. Ability to manipulate and maintain databases. Required Ability to handle extremely confidential material with discretion and tact. Required Ability to work independently and follow through on assignments with minimal direction. Required Ability to establish and maintain cooperative working relationships with administrators, faculty, students, and staff. Required Ability to communicate using appropriate vocabulary and grammar to obtain information, explain policies and procedures. Required Skill in listening perceptively, conveying awareness and responsiveness. Required Skill in writing grammatically correct routing business correspondence such as memoranda, reports, and agendas. Required Skill in performing with frequent interruptions, distractions, and/or changes in priority. Required Ability to address multiple competing deadlines. Required Demonstrated ability to use word processing programs such as Microsoft Word.
