Position Information Job Title Associate, (Confidential Position) Continuing and Professional Studies (CPS) Extended Search Working Title Associate, Continuing and Professional Studies (CPS) Requisition Number 063369 Department Continuing and Professional Studies Location Lincroft Job Description The Associate of Continuing and Professional Studies (CPS) provides clerical/secretarial support to the Dean of CPS including day-to-day office functions, scheduling, budget maintenance and the tracking, processing, and organization of department records and reporting. Description of Duties/Selection Criteria Prepare reports including budget summaries, and other data summaries as needed. Gather data/information and coordinate for special projects. Perform office support functions including the preparation of routine letters, editing, proof reading and distribution of reports. Manipulate data to provide reports or other requested information.

Schedule and coordinate meetings and ensure the accuracy of the calendar for meetings between the Dean and various stakeholders, including but not limited to: students, instructors, members of the Senior Executive Leadership Team (SELT), the President's Cabinet, workforce development and business partners, the College President, Board members and County Freeholders.

Review documents submitted for the Dean's approval. Ensure that the documentation is accurate and in compliance with the College Policies, including the review and track hourly timesheets for hourly CPS employees. Assist with travel arrangements and submission of appropriate documentation for reimbursement.

Screen and prioritize all incoming mail for the Dean of CPS. Maintain follow up files to ensure correspondence is answered in a timely manner. Draft routine correspondence for review by the Dean or Directors.

Initiate facilities maintenance requests and follow-up for timely completion.

Provide departmental support to CPS Operations as needed and during peak periods, including, but not limited to:
Functional support at required meetings.
Input for purchase requisitions for the Office of CPS operating budget. Additional help to CPS Operations support staff.

Perform others duties and responsibilities as assigned. Minimum Qualifications Associate's Degree; or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Two years of working experience, preferably within an educational environment.

Strong interpersonal and organizational skills.
Ability to respond accurately to inquiries, resolving routine problems and questions in a timely manner.
Strong documentation skills and attention to detail.
Ability to understand and employ discretion, strict confidentiality and diplomacy. Computer literacy skills at an intermediate level with the ability to utilize and apply Microsoft Office Outlook, Word, Excel, and PowerPoint as well as specialized software programs and computer applications.
Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position. Preferred Qualifications & Special Considerations (i.e. overtime, expertise in, physical requirements, flexible in schedule, travel, preferred qualifications, etc) Knowledge of Monmouth County and its communities preferred. Organization

Brookdale Community College, located in the Lincroft section of Middletown Township, New Jersey, is an excellent resource for residents of Monmouth County. The College offers (2-year) associate degrees in over 50 programs, plus noncredit classes in many areas of personal and professional interest.

Brookdale is an open admission, comprehensive community college, available to anyone 18 years of age or older, anyone who is a high school graduate or holder of an equivalency diploma. If you do not have a high school diploma or an equivalency diploma, you may still enroll at Brookdale as long as you are 18 or older.

The College was founded in 1967 and is sponsored by the citizens of Monmouth County through the Board of Chosen Freeholders.

The 220-acre main campus today comprises 22 buildings totaling 731,353 square feet, with new construction in the last decade including Larrison Hall, the Center for the Visual Arts, the Bankier Library, and our beautiful newly renovated Fitness Center and Conference & Events Center.

The campus also includes a 360-seat Performing Arts Center, an Advanced Technology Center with state-of-the art television and music studios, 10 athletic fields, Brookdale Public Radio 90.5 The Night, and some 60 computer labs with about 2,000 fully networked PCs running all today’s mainstream applications at all Brookdale locations.
