Job Summary Requisition Number: 29471 Job Title: ADMINISTRATIVE ANALYST Working Title: Community Programs Program Manager Salary: $23.04 - $45.54 hourly Job Type: Contract Department Name: 0288-DEAN, GSE&IS Department Website URL: Job Summary Statement: Serve as the GSE&IS Community Programs (CP) program manager under the direction of the Associate Dean of Community Programs and the Assistant Dean of Financial Administration/CFO. Primary duties include managing operations for all Community Programs, managing initiatives, communications and development efforts within Community Programs, financial management and analysis of center funding, and oversight of program-wide personnel activities. The Program Manager will serve as the liaison between initiative directors, staff, faculty, district administrators, university officials, and school district organizational leaders.

Incumbent will manage Community Programs annual budget in conjunction with the Associate Dean of Community Programs and GSE&IS Business Office. Fiscal responsibility with a range between $2,000,000 to $3,300,000 with anticipated continued growth in extramural and gift funding. Additional fiscal responsibilities include but are not limited to: grant proposal preparation through to completion, monitor research and program expenses on contracts and grants; coordinate meetings and conferences in collaboration with staff and student researchers; draft/edit various correspondence and reports and distribute. Work with various GSEIS staff (fund manager, HR rep, etc.) to ensure Community Programs and its administrative functions comply with UCLA policy. Provide backup and coordination to other staff within the project as necessary for publications, outreach campaigns, special projects, etc. Percentage of Time: 100 Shift Start: 8:00 am Shift End: 5:00 pm function checkForSelectedStatus(){ return true;} Qualifications for Position 19 Records Qualifications Required/Preferred Demonstrated ability to work independently, prioritize assignments; follow through with minimal direction in order to perform effectively under busy conditions of frequent interruptions, fluctuating workloads, and conflicting time demands. Required Knowledge of University & GSE&IS policies and procedures to effectively serve as resource to students, faculty, staff and school departments. Preferred Demonstrated interpersonal skills to interact with and establish professional, cooperative working relationships and interact effectively with administrators, Senior level faculty and staff and with persons of various social, educational, and cultural backgrounds. Required Ability to establish and maintain a broad range of campus, School district, UCOP, and nation-wide liaisons in order to interact effectively with Center, School, and University administrators and various educational Organizations as required. Required Ability to accept delegated work, validate expectations, problem-solve obstacles, and follow-up to completion and/or report status of delegated tasks Required Ability to identify methods for increased efficiency in working operations and propose modifications. Required Ability to work responsibly and accurately with detailed information including: financial data and calculations, contract clauses and performance dates, and other numeric narrative information. Required Ability to deal with confidential and sensitive information with discretion, and to maintain professional working relationships with sponsors, industry, government, the UC and other academic and corporate institutions Required Ability to generate detailed monthly financial reports using advanced features of Excel that compare budgeted to actual personnel effort and separate costs associated with sub-projects and major expense items Required Ability to prepare budgets for extramural funds and general funds in accordance with University and funding agency guidelines and policies. Preferred Skill in making appropriate job decisions following standard office policies and past precedents. Required Demonstrated ability to organize material, information, in a systematic way to optimize efficiency and minimize duplication of effort Required Demonstrated ability with University on-line financial systems/ledgers including BruinBuy, TOF, and OFSR. Preferred Working knowledge of personal computer hardware and of word-processing, spread sheet, database, scheduling, and e-mail software, e.g., MS Word, Excel, PowerPoint Required Working knowledge of University policies and procedures such as accounting, travel, purchasing, facilities, mail and expedite tasks with associated central offices. Preferred Ability to work some weekends and afternoons as they pertain to project activities when necessary. Required General office management skills to oversee operations and implement efficient office systems. Required Excellent interpersonal skills, communication skills, and usage of language to clearly convey information verbally and in writing. Ability to present persuasive arguments and use negotiation skills to achieve mutually agreeable solutions. Required Demonstrated ability to work as part of a team and assist other administrative support staff tasks as needed.
